Custom software for a small Brisbane business: one workflow first

Of the 145,916 businesses registered in the Brisbane LGA at June 2025, about 97% have fewer than 20 staff, and roughly six in ten employ nobody at all (Brisbane City Council, December 2025). Taking over, replacing or connecting software you already have
If code already exists, such as a stalled build, an Access or FileMaker database or an old PHP app, or your staff retype data between two systems each week, start with a code audit priced in writing before anyone starts.
Rescue a stalled build
Get three things into your business's name first: the repository, an inventory of every credential and service the app relies on (hosting, domain, email, payment and API keys), and the previous developer's list of unfinished work. The audit then shows what runs, what is broken and what each fix would take.
Replace Excel, Access or FileMaker
The data matters more than the screens. We map every table and field to the new system, migrate a copy, and run old and new side by side until your team trusts the numbers, retiring the old file only after a clean cut-over.
An old PHP app
Audit first, then decide. Some apps need a supported PHP version and a security pass; others are cheaper to rebuild module by module in Laravel or Node.js while the data stays put.

Software for Queensland Government and council suppliers: QPPs and breach notification
General information, not legal advice. Queensland's reformed privacy regime, including the Queensland Privacy Principles (QPPs), began on 1 July 2025. An agency must take all reasonable steps to bind a contracted service provider that deals with personal information for it, and a bound provider is then responsible for complying with the QPPs for that information. Mandatory notification of data breach (MNDB) has covered agencies since 1 July 2025 and councils, Brisbane City Council included, since 1 July 2026. The scheme doesn't apply to contractors directly, but the Office of the Information Commissioner (OIC) says agencies should consider a data breach notification requirement in the service arrangement. Where an agency is unsure whether a breach is an eligible data breach, it has 30 days to assess it.
Access logs
Each view, edit and export of a personal record is logged with user and time, so you can show an agency who saw what.
Data minimisation
Forms ask only for the fields the contract needs, and retention settings remove or de-identify records when the agreed period, or the contract, ends.
A breach-assessment workflow with dates
A suspected breach is logged with the date you became aware of it, given an owner and tracked against the 30-day window, with containment steps recorded.
Exportable records and role-based access
Access logs, breach records and a data inventory export to CSV or PDF; each role sees only the fields its work requires.
One contract term shapes the build itself: a contracted service provider can be bound to the Information Privacy Act's overseas-disclosure rules (section 33). If your contract does this, put it in the brief, because it decides who may touch production data and whether we develop and test on sample data only. Hosting region is confirmed in writing for your business before you sign.

Firms outside government supply chains answer to the federal Privacy Act, which generally doesn't cover businesses turning over A$3 million or less a year but does cover health providers (OAIC guidance).

Running a software build on Queensland time
Queensland keeps AEST all year (background on our Brisbane page). We are online 2:30pm to 11:30pm AEST, Monday to Saturday: 2.5 shared hours with a Brisbane 9–5 day. Until daylight saving ends on 4 April 2027, Sydney and Melbourne firms get 1.5 hours, so Brisbane has the longer window.
