A blank price usually means a discovery call first, not dear work. Still, Ential describes clients turning over $1M–$20M with 5–100 staff and Team 400 builds on Azure and Microsoft tooling, so a sole trader is mostly left with rentals or floors above $4,000 (HYPHN's 'around $500' is the outlier). A single flow from A$1,950 is aimed at that gap.

Greater Brisbane's 2021 Census counted 168,351 working residents in clerical and administrative jobs (13.5%), 153,068 technicians and trades workers (12.3%) and 29,235 in takeaway food services. Renting has a real case: the fee pays for upkeep, so if nobody on your side will ever open an automation tool, a managed plan can suit. The cost shows at the exit. Queensland’s clock and holidays, built into the flow rather than fixed by hand

Queensland keeps AEST all year while most of the south moves its clocks, and the Ekka holiday covers the Brisbane area only (Queensland Government dates). A flow with one fixed 9am trigger and one national holiday list gets both wrong, usually without anyone noticing.

Storm season and app outages: what a Brisbane automation should do when a step fails

Business Queensland's continuity guidance lists floods, storms and cyclones beside IT and power outages, and the Bureau of Meteorology's cyclone season runs November to April. For an automation, that means four build requirements.

  • Retries, then a holding queue

    When Xero, ServiceM8 or your mail server stops answering, the step retries at longer gaps; jobs that still fail wait in order, so nothing is lost or sent twice when the app returns.

  • A named person, and a manual path

    After a set number of failures, someone you choose gets an email or WhatsApp alert with the job details, so the work carries on by hand.

  • A one-page ‘when it breaks’ note

    The apps it touches, what each alert means, how to pause it and who to contact. It lives in your drive, not ours.

  • Run logs in plain words

    What came in, what the AI step decided and what went out, readable without opening the platform's editor.

None of this is an uptime promise; the aim is that a failure shows up and the work doesn't vanish. Whoever you hire, ask to see the alert a failed run sends.

Two checks before you budget: Queensland grant status and the December privacy rule

  • Queensland grants: what is open in October 2026

    Business Boost paid $10,000–$20,000 (ex GST) and funded 'specialised and automated software', but the program was due to complete by 31 August 2026. The grants schedule, updated 24 September 2026, shows no Boost round open; the Construction Business Advancement Grant is 'opening soon' and Mentoring for Growth is free. Check the schedule before counting on a grant; we make no claim that our work qualifies.

  • The privacy rule that starts on 10 December 2026

    From that date, an APP entity that has arranged for a computer program to make, or inform, decisions that significantly affect people's rights or interests must say so in its privacy policy (OAIC). The $3 million small-business exemption doesn't help a clinic: health service providers are covered at any turnover, which brings Brisbane physio, GP and allied-health practices into scope. A waitlist or triage flow is worth checking against the rule; our national page has the detail.

Any SMS or email a flow sends also falls under the Spam Act, so check ACMA's current guidance before automated follow-ups go live.

The bigger gap is the exit: AI Automation Agency's terms keep the workflow as its property and switch it off on cancellation unless you pay a $990 to $1,990 buyout. Ours runs in your workspace, so it keeps going if you stop paying us.

Can ServiceM8 jobs be automated into Xero with n8n or Zapier?

Often you don't need to. ServiceM8's own Xero connection already syncs clients, invoices and payments, so start there. n8n, Make or Zapier earns its place when a job needs more than a standard invoice: checking line items against the quote, routing large invoices to an approver, updating a separate CRM, or texting a review request only once Xero shows the invoice paid. ServiceM8 opens its REST API from the A$29-a-month Starter plan (inc. GST) and lists both n8n and Zapier as integrations.

Is there an AI receptionist for Brisbane businesses, and what can be automated after the call?

Phone voice agents exist; AI Pivot lists one at $295 a month. We don't build them; our work begins once the call ends. If your phone system logs missed calls, a flow can follow each up by SMS or WhatsApp, gather phone, web and WhatsApp enquiries into one list, and record each in your CRM so no lead is chased twice. Will an automation handle the Ekka, Queensland's October King's Birthday and no daylight saving?

Only if it's built to. The Ekka holiday covers the Brisbane area only (next on Wednesday 11 August 2027), so a business with Gold Coast or Ipswich staff needs a holiday list per site. Queensland marks the King's Birthday in October, not June (Monday 4 October 2027). And from 4 October 2026 to 4 April 2027, NSW, Victoria, the ACT and Tasmania run an hour ahead of Brisbane and South Australia half an hour, so messages should be timed in each recipient's zone.

Are there Queensland government grants for automation software right now?

Not that we can see as of 6 October 2026. Business Boost, which paid $10,000 to $20,000 ex GST and listed specialised and automated software among funded projects, was due to complete by 31 August 2026, and the grants schedule updated on 24 September shows no round open. The Construction Business Advancement Grant is marked as opening soon, and Mentoring for Growth sessions are free. Check the Business Queensland schedule before you budget on a grant; we don't claim our work qualifies for one.
