Quick answer

Which POS systems have no monthly fee in Australia, and what's the catch?

A no-monthly-fee POS is one with no software subscription; the cost moves to card fees, a one-time licence or hosting. Payments-funded 'free' POS such as Zeller (A$0 software; 1.2% through Zeller POS, 1.4% on its terminal), Pratham and MiPOS with their EFTPOS earn on every card sale, and since 1 October 2026 you can't surcharge eftpos, Mastercard or Visa. Buy-outright licences from MiPOS and Retail Edge don't publish a price. Owned software with source code, such as ours, is A$449 once: three to seven and a half months of a typical $60⁠–⁠$150 subscription. Card fees, hardware and hosting are extra with every option.

No-monthly-fee POS in Australia: three ways it gets paid for

'No monthly fee' never means no cost. The cost moves to one of three places, and each one suits a different kind of venue.

  • Payments-funded free: your card fees pay for the software

    Zeller POS is free to download and run, with no subscription, licence fee, lock-in or cancellation fee. Zeller earns on card processing instead: 1.2% through Zeller POS and 1.4% on a Zeller Terminal (GST-inclusive), on every card sale. Pratham advertises '$0/month with an eligible EFTPOS plan', and MiPOS gives its software away with MiPOS EFTPOS.

    What you give up: shopping around on card fees, which since 1 October 2026 you can't pass on as a surcharge on eftpos, Mastercard or Visa. Who it suits: a coffee cart or counter-service café on modest card volume. For that venue it's a fair deal.

  • Buy-outright licence: one payment, price on enquiry

    MiPOS sells a lifetime licence. Retail Edge Systems sells a buyout POS that runs locally in store, with a 1-year onsite warranty, phone support, training and optional add-ons. Neither publishes a price, and neither says on its page what support or updates cost later. Who it suits: owners who want an installer in Australia and don't mind negotiating.

  • Owned and self-hosted: you buy the software and its source code

    This is where Codingclave sits: A$449 once for the licence with full source code, run on a server you choose (a small server or mini-PC in the shop, or a cloud server), with a card terminal from any provider. What you give up: someone has to run it, you or a host you pay, and support is remote from India. Who it suits: owners who want a fixed software cost and control of their data.

If a vendor says 'free' and doesn't publish its card rate, get the rate in writing before you sign. On a busy café's turnover, a fraction of a percent outweighs the software bill, as the next two sections show.

This table takes each published software price over 36 and 60 months, per location, before card fees and hardware. Card fees are in the next section, so nothing is counted twice. Each provider's GST basis is as it publishes it; our prices have no GST added.

If you want us to run it, compare the hosted plan first. At A$45 a month it costs less over five years than the licence plus our managed hosting. Hosting region, backups and updates on the hosted plan are confirmed in writing before you sign. Buy the licence when owning the code matters.

Extra sites and registers cost more. Square Plus is charged per location and adds A$50 a month per location for mobile POS; Lightspeed and Abacus add $40 and $49 a month per extra register (per Mobile Transaction). How many outlets and devices our plans cover is confirmed in your quote.

Card fees after the surcharge ban: what any POS can and can’t change

From 1 October 2026 the Reserve Bank removed surcharging on debit, prepaid and credit cards on the eftpos, Mastercard and Visa networks, with a foreign-card interchange cap and fee-transparency rules to follow from 1 April 2027. Three-party networks such as American Express, buy now pay later, mobile wallets and e-commerce platforms were left for separate consultation, so ask your provider what applies to those. On the designated networks, card processing is now a cost the venue carries.

  • A standalone terminal works beside any POS

    A card terminal from any provider works next to any POS, ours included: staff key in the amount. It costs a few seconds per sale, but you can change card provider without changing POS.

  • Integrated EFTPOS is confirmed per terminal

    Integrated EFTPOS sends the amount from the POS to the terminal. We confirm in writing whether yours connects before you sign; if it doesn't, the connection is quoted as custom work.

  • Zeller’s lowest rate needs Zeller POS

    Zeller's 1.2% applies to payments through Zeller POS. A Zeller Terminal beside another POS is on its 1.4% in-person rate: A$600 a year more on the example below.

What it does at service: floor, kitchen and counter

A restaurant POS takes the order, sends it to the kitchen, tracks the table, settles the bill and reports what sold. Here's what ours does during service. Comparing software more broadly? Read our 2026 guide to restaurant management software in Australia.

  • Floor plan and tables

    A visual layout shows which tables are free, seated or waiting on the bill.

  • Touch ordering with modifier sheets

    Tap the dish, pick modifiers (oat milk, no onion, medium-rare) and send it to the kitchen in one step.

  • Kitchen display with aging timers, or dockets

    A timer on each order makes the oldest ticket obvious on a Friday night, and staff mark items preparing, ready or served. Prefer paper? Print dockets instead. Routing to several printers or stations is confirmed for your set-up in the demo.

  • Split bill, merge bill and tips

    Split one table's bill, merge two onto one and record tips, so a group of eight paying separately doesn't hold up the counter.

  • Menu catalogue and a central menu

    A sold-out toggle takes the lamb off ordering screens. With several venues, one central menu covers every outlet.

  • Recipe-level inventory

    Each sale draws down its ingredients, and low-stock alerts flag the milk before Saturday service, not during it.

  • Reservations and reports

    Bookings are managed in the same system. The dashboard shows revenue, covers, average order value and payment mix, with daypart and top-dish reports.

  • PIN login and audit trail

    Each person logs in with their own PIN, and actions are recorded against it, so a void or discount traces back to whoever made it.

Uber Eats, DoorDash and the end of Menulog: what it means for your POS

Menulog stopped taking orders in Australia at 11:59pm AEDT on Wednesday 26 November 2025. Uber Eats and DoorDash are now the national marketplaces, and any POS still promising Menulog integration is out of date.

On a A$40 order with Uber delivery, the commission is A$12 ex-GST (our arithmetic), which is why matching marketplace payouts against POS sales is worth doing every week. We don't quote DoorDash's Australian rates because we couldn't verify them from a primary Australian source; check your DoorDash merchant agreement.

Hardware: what A$449 doesn’t buy, and what you can reuse

The licence is software only. It works on touch tablets, POS terminals, desktops and laptops, so hardware you already own may do. Bring your tablet or PC, receipt and kitchen printers and cash drawer, and we check compatibility in the demo. For comparison, published hardware prices:

Owning your POS: source code, data exports and the sales-suppression ban

Owning the software means no vendor can raise your price or switch off your plan. Weighing it up? Our guide to subscription versus one-time POS pricing covers the trade-offs in general terms.

  • What ‘source code included’ means

    The A$449 licence includes the full source code. You hold it and run it on a server you choose. The rights that come with it (changes, resale, extra venues) are written into your quote before you pay.

  • If Codingclave stopped trading

    On the licence, service carries on. The software and database run on a server you control and you hold the source code, so another developer can pick it up. A subscription POS can be repriced or switched off by its vendor; a copy you host can't.

  • Your sales data stays in your database

    On the licence, the database sits on your own server, so every sale and staff record is yours to access and export. On the hosted plan, we confirm exports in writing before you sign.

  • The ban on electronic sales suppression tools

    Since 4 October 2018 Australian law has made it an offence to produce, supply, possess or use electronic sales suppression tools: software that deletes, re-sequences or alters sales records to under-report income. Producing or supplying one carries a maximum of 5,000 penalty units, possessing one 500, and falsifying records with one 1,000. Owning the code doesn't change that; a modified POS that hides sales is what the law targets.

  • An audit trail by design

    Each person works under their own PIN, actions are recorded against it, and the system is designed so sales aren't silently deleted or renumbered. Ask us to show it in the demo. It is a design principle, not a certification.

Who it suits, and when Square, Zeller or OrderMate is the better buy

Pick on two things: how you serve, and who answers when it breaks on a Saturday.

  • Good fit: independent cafés, takeaways and small-to-mid restaurants

    A single venue or small group wanting table service or a busy takeaway counter, a kitchen screen and split bills at a fixed software cost, with an owner comfortable with remote support.

  • Zeller or Square Free: counter service on low card volume

    For a coffee cart or counter-only café, A$0 software is hard to beat. They are also the quicker route if you need integrated EFTPOS working on day one, because we confirm each terminal before promising it.

  • Square Plus, Zeller or OrderMate: 24/7 phone help

    Square Plus includes 24/7 support, Zeller advertises 24/7 phone, email and SMS support, and OrderMate advertises 24/7 help. We have no phone line.

  • A provider with staff in Australia: technicians at the door

    If you want a technician on site on a Saturday night, or POS, payments and support from one Australian business, choose a provider with staff here. OrderMate, for example, advertises on-site technicians, though it publishes no prices. We're an Indian company with no Australian office or ABN.

Why the hours suit a restaurant. Send the new menu after close and work starts that evening, with progress by morning. Most Monday–Saturday dinner service falls inside our hours (in Perth, until 9:30pm), and Perth gets the most daytime overlap: 4.5 hours of a 9am–5pm day.

If something breaks outside our hours. A standalone card terminal isn't tied to the POS, so it keeps taking payments. Message us on WhatsApp any time and we pick it up from 10:00 India time (3:30pm in Sydney during daylight saving). What keeps working in the POS itself if the internet drops is confirmed in writing before you sign.

Which POS system has no monthly fee?

In Australia, three kinds. Payments-funded systems: Zeller POS is A$0 for software and earns 1.2% on payments through Zeller POS or 1.4% on its terminal; Pratham is $0 a month with an eligible EFTPOS plan; MiPOS is free with MiPOS EFTPOS. Buy-outright licences from MiPOS and Retail Edge, priced on enquiry. And owned software with source code, such as ours at A$449 once. Square's Free plan is also A$0 for software, at 1.6% in person. Check the card rate before you choose.

Is there a free POS system for a small café?

Yes, two kinds, each with a catch. Payments-funded POS such as Zeller or Square Free costs nothing for software because you pay that provider's card rate on every sale, which you can no longer surcharge on eftpos, Mastercard or Visa. For a counter-only café or small coffee shop on modest card volume, that's often the cheapest choice. Open-source POS from GitHub is free to download but comes with no support or Australian set-up. Our A$449 licence sits between the two: you own the code and choose the card provider.

Can I get a POS system with a one-time payment?

Yes. Our restaurant POS licence is A$449 once, with full source code, every module and the first three months of updates. It doesn't include hardware, card processing or somewhere to run it: a machine in the shop, your own server, or our managed hosting at A$80–A$240 a month. The AUD price of updates after month three, and what happens if you skip them, is confirmed in writing before you buy. MiPOS and Retail Edge also sell one-time licences, without published prices.

How much should a POS system cost per month?

MiPOS puts typical software subscriptions at $60–$150 a month per site. Square Plus is A$129 per location, and Mobile Transaction lists Lightspeed at $40–$340 plus GST and Epos Now from $49 plus GST. Zeller and Square's Free plan charge A$0 for software. Ours is A$45 a month hosted, or nothing monthly on the A$449 licence. Card fees usually cost more than the software: on A$300,000 of card sales, 1.2% is A$3,600 a year and 1.6% is A$4,800.

Can a café or restaurant still surcharge card payments in Australia?

Not on eftpos, Mastercard or Visa debit, prepaid or credit cards. The Reserve Bank removed surcharging on those networks from 1 October 2026. Three-party networks such as American Express, buy now pay later and mobile wallets were left for separate consultation, so check with your provider. Because the venue now carries the card fee, the rate matters more than before. A POS that works with any provider's terminal lets you move when another provider offers a better rate.

Is there a POS for iPad with no monthly fee?

Yes. Square's Free plan is A$0 for software with 1.6% in-person card fees, and the Square Stand is A$149 (iPad not included). Zeller POS is A$0 for software, funded by its card rates; check which tablets it supports. Ours has no monthly fee on the A$449 licence and runs in a tablet browser, so an iPad you already own may do, with a receipt printer and cash drawer if you need them. Confirm your iPad model in the demo before you rely on it at service.

Does the POS integrate with Uber Eats?

Not as a built-in switch. Getting Uber Eats or DoorDash orders straight into our POS and kitchen display is scoped custom work, confirmed in writing before you sign. Menulog stopped taking orders on 26 November 2025, so don't pay for a Menulog connection. Uber Eats publishes Australian marketplace commission of 30% with Uber delivery, 16% self-delivery and 8% pickup, ex-GST. To keep more of each order, look at commission-free ordering on your own website.

Does a restaurant POS work offline if the internet drops?

It depends on the system, so ask every vendor before you sign. Retail Edge, for example, says its non-cloud POS runs locally in store. For ours, what keeps working during an outage, on the licence and on the hosted plan, is confirmed in writing before you sign, and we walk you through it on the demo call. Whatever POS you choose, keep a standalone card terminal with its own mobile connection as a payment fallback, and a paper docket pad for the kitchen.
