Who an NDIS provider website is really for
Participants choose their providers, often with a family member or support coordinator beside them, so your website is where that choice gets made. The NDIA's dashboard counted 782,013 active participants at 30 June 2026, and 25% fully or partly self-manage. Of 280,258 providers active that quarter, 210,956 supported plan-managed participants. Culturally and linguistically diverse and First Nations participants are each 8.7%.
Participants
Plain English, Easy Read versions of core services, captioned video (Auslan where your participants use it), and a 'what happens after you contact us' list.
Families and nominees
They read the detail first: how you screen, train and supervise workers, what a first visit looks like, and how a concern is handled. Real team photos beat stock images.
Support coordinators and plan managers
The provider that is quickest to refer to tends to get the referral. Give coordinators a one-page 'refer a participant' route, current SIL and SDA vacancies, the suburbs you cover and a stated response time.
Hospital discharge planners
They need a start date and a suburb, fast. Show on one screen what you can start within days and where, with a call-back form asking only for contact, area and discharge date.
Support workers you want to hire
A careers page brings in applicants and shows families you hire carefully: roles, locations, screening steps and training, with a phone-friendly application form.
Five rules for an NDIS provider website
- State supports, entry criteria and costs plainly.
- Meet WCAG 2.2 AA in code and content.
- Make referring a five-minute job.
- Treat form data as health information.
- Imply no NDIA endorsement or guaranteed funding.
Need a site if coordinators already refer to you? Usually: choice stays with the participant, so the family still checks you out. A sole trader can start with five pages: services, about, areas, refer, contact.

Accessibility: WCAG 2.2 AA, and why a widget doesn’t get you there
The Disability Discrimination Act applies to websites (Maguire v SOCOG, 2000). The Australian Human Rights Commission's 2025 guidelines, which are guidance rather than law, recommend WCAG 2.2 at minimum Level AA, and say to use 2.2 where appropriate even though AS EN 301 549:2024 references 2.1. WCAG 2.2 (October 2023) adds nine success criteria and removes 4.1.1 Parsing. If an agency still quotes 2.1, ask why: the six new A and AA criteria are the ones that bite on a referral form.
Overlays and accessibility widgets
Our position: an overlay or toolbar doesn't make a site conform. Conformance lives in the code and content, and a widget can clash with a participant's own screen reader or magnifier.

Easy Read, plain English and community languages
Main pages use plain English, plus an Easy Read page per core service; you supply the Easy Read wording and images. For culturally and linguistically diverse participants, a short page in each main community language, with how to ask for an interpreter, often does more than translating the whole site. Translation is quoted separately.

NDIS logo and wording rules for your website (from the NDIA’s own guidelines)
No provider, person or business may use the NDIS logo without the NDIA's written consent. The NDIA's 4 December 2025 release says that since August 2024 it had made 604 referrals to the ACCC, 112 to the NDIS Commission and 6 to the Fraud Fusion Taskforce, and more than $100,000 in fines had been paid, including by Thermomix and Bedshed. The NDIA endorses no products or services, and Codingclave is not affiliated with, or endorsed by, the NDIA or the NDIS Quality and Safeguards Commission.

'NDIS' in your trading or domain name? The NDIA issues cease-and-desist letters for acronym misuse, so get advice before rebranding. A rename is then a planned migration: new domain, page-by-page 301 redirects, updated listings and Search Console checks.

Code of Conduct and Practice Standards: what your website can show an auditor
The NDIS Code of Conduct has eight elements and applies to registered and unregistered providers and their workers. Three touch your website: integrity, honesty and transparency; privacy; and fair pricing, which rules out charging or representing higher prices for goods supplied to participants without a reasonable justification. So for goods, never show a higher 'NDIS price' without a reason you could explain; for any support, one dated price list for everyone is the safe practice. Registered providers are also audited against the Practice Standards.

Referral and intake forms that collect consent and keep health information private
The Privacy Act generally exempts businesses turning over $3 million or less, but the OAIC says it covers every health service provider regardless. Its guide to health privacy includes disability service providers that handle health information, which is sensitive information. Its tracking-pixel guidance (4 November 2024) says sensitive information generally must not reach third-party platforms through pixels. So no Meta or Google Ads pixel on the referral form, or on a thank-you URL that reveals a support type.
Consent capture
The checkbox says who will see the information, why, and how to withdraw consent. Each referral stores the tick, timestamp and notice version. Diagnosis waits for the secure stage.
Attachments and notifications
Files go to encrypted storage, not email. Notifications say 'New referral: open the secure link' with no participant details, and referrers get an acknowledgement with your response time.
Triage and three short forms
Referrals route by service and region. Offer three short forms: self-referral (with Easy Read), support coordination, and a hospital discharge call-back.

When coordinators refer often, or intake needs documents and status updates, a form outgrows email. Hosting in your own cloud account
The portal runs in your organisation's cloud account, in an Australian region confirmed in writing before you sign. A support-worker app is a separate mobile app build.
Portal or platform? The 1 July 2026 registration change
From 1 July 2026, SIL and NDIS digital platform providers must register with the NDIS Commission (new classes 0137, NDIS digital platform service, and 0138, assistance with SIL); mandatory registration for support coordination is paused. Existing providers should check the Commission's transition arrangements. An intake portal for your own services is a front door to you; a site matching participants with other providers' workers, or processing plan payments, may be a digital platform, so check the Commission's definition first.

An India-based team: hours, data access and who owns what
Codingclave Development LLP is a founder-led team in Lucknow, India, run by Ashish Sharma since 2017. You deal with Ashish directly on WhatsApp (+91 92771 84741), email or video, Monday to Saturday.
