For a small Australian motel or hotel, published starting prices run from about A$36 to A$125 a month before extras. Codingclave's hotel management software is A$45 a month, A$399 a year, or A$1,799 once for a self-hosted licence with full source code. GuestPoint is listed from $125 a month (Basic) on Capterra Australia, Preno from £19 (about A$36) plus a 1% booking fee, and eviivo from US$50 (about A$72). Motel management software: what an Australian property actually needs
Tourism Research Australia counted 78% of tourism businesses as non-employing or with one to four staff in June 2025. So judge motel booking systems in Australia on one test: do they take admin off the person who is also the receptionist and the night auditor? Here is the software across a motel's day, or open the live demo and try each step.
Walk-ins on the visual room rack
A contractor pulls in at 6pm wanting two nights. The colour-coded room rack shows every room as vacant, occupied, dirty or blocked, so you pick a clean room, take payment and check them in. The channel manager then takes that room off your other channels within minutes.
Late arrivals and express check-in/out
Highway motels take arrivals after the office shuts. With express check-in, the room, advance payment and folio are ready before the guest turns up. Express check-out settles the folio and prints the tax invoice in a minute.
Housekeeping: stayover and departure cleans
Housekeepers update room status (clean, dirty, inspected, out of order) from a mobile view and work from a daily task list, so the desk can sell a room the moment it's marked clean. A broken air-conditioner goes in the maintenance log and the room stays off sale until the job is closed.
Tradie, contractor and corporate long stays
A civil crew booking six rooms for five weeks wants one invoice to the company. Set a long-stay rate and split the folios: rooms bill to the company, meals and extras to each worker. Stays of 28 days or more also change the GST calculation (see below).
Pub with rooms: bar and bistro charges to the room

Which properties it suits, and when another PMS is the better choice
As a PMS for small hotels, it fits properties of roughly 8 to 60 rooms: motels, pubs with accommodation, boutique hotels, B&Bs, serviced apartments and small groups that want the desk, the OTAs and the bar in one system. Some properties are better served elsewhere.
Holiday and caravan parks: look at RMS Cloud or Newbook
If your income comes from powered sites, cabins and a park map, choose a system built for parks. RMS Cloud and Newbook both serve holiday parks; ours is built around rooms.
Management rights and letting pools: talk to EzyRez too

Australian hotel PMS prices compared (checked 5 Oct 2026)
Most hotel PMS vendors in Australia quote privately, so a price check doubles as a sales call. Capterra Australia lists Preno in pounds and several global systems in US dollars, so a figure on a .com.au page may not be AUD. Hotel Tech Report's Oceania ranking, updated 30 September 2026, puts RMS first (recommended by 207 hotels) and Preno second (121 hotels), from 513 hoteliers surveyed, yet RMS Cloud publishes no price on its website.

What it really costs over 3 and 5 years
This table multiplies published starting prices over 36 and 60 months, before card processing and OTA commission. Where a price depends on volume, it uses one reference property, also used in the commission example below: an 18-room motel at 65% occupancy (4,271 booked nights a year) and an A$150 average rate, about A$641,000 in room revenue.

If you want us to run everything, the yearly cloud plan is our cheapest option: A$1,197 over three years, with hosting, updates, backups and support. Monthly billing costs A$141 more a year and has no yearly commitment.
The licence is cheapest only if you already have a server or IT help. With our managed hosting it costs more than cloud. People buy it for ownership: the source code is yours and the system keeps running if our relationship ends.
Why lower than Australian vendors? We're a founder-led team in Lucknow with no Australian offices to fund, and there are no modules to upsell. Vendors with staff in Australia cost more, and for some owners that's worth paying for. Get your 3-year cost in writing.

Hotel PMS and channel manager: OTAs, commission and rate parity
A channel manager keeps rooms, rates and restrictions in step across every site that sells them. It won't fill rooms on its own, but on two or more OTAs it stops one room selling twice.
Two-way sync stops double-selling the last room
A one-way feed only pushes rates out. Our two-way channel manager also pulls each OTA booking into your calendar with its rate plan and commission, and takes the room off every other channel within minutes.
How each OTA connection is set up
Australian guests mostly book through Booking.com, the Expedia group (Expedia, Wotif, Hotels.com), Agoda, and Airbnb for apartment-style rooms. We map your room types and rate plans to each channel, test a booking on each, and only then switch it on. If a channel can't be connected for your property, you hear it at the fit check, before you pay. Your OTA listings and reviews stay with your OTA accounts.
Commission is usually bigger than your software bill
The ABC reported on 30 May 2026 that Australian operators pay Booking.com 12–15%, and up to 30% in its voluntary incentive or visibility programs. Booking.com says its commission averages around 15% globally. At 15%, moving A$2,660 of bookings a year to your own booking engine covers the yearly plan.
Rate parity: what you can offer direct
You can usually offer a better rate to guests who phone or walk in. After an ACCC investigation, Expedia and Booking.com agreed in 2016 to amend parity clauses with Australian accommodation providers. Under the terms the ABC described in May 2026, you still can't show a lower rate on your own website than on Booking.com. Check your contract. Even at the same rate, a direct booking carries no commission. Read the ACCC release.

GST tax invoices, long stays and state rules: what applies to hotels and motels
Some PMS guides apply Airbnb rules to hotels and motels. The tax-invoice, Victorian and NSW boxes were checked against the government pages in the source list on 5 October 2026. The ATO page blocked our automated check, so read the long-stay box with your accountant. None of this is tax or legal advice.
Tax invoices: the fields your folio must print
Per business.gov.au, a GST-registered business must issue a tax invoice for a taxable sale over $82.50 including GST, or whenever a customer asks for one, whatever the amount; you have 28 days to provide it. It must show:
- the words 'tax invoice'
- your business name and ABN
- the date of issue
- what was sold, with quantity and price
- the GST payable
Sales over $1,000, such as a month of crew rooms, also need the buyer's identity or ABN. Our folios carry these fields.
Long stays of 28 days or more
Hotel and motel rooms are commercial residential premises, so a GST-registered operator charges 10% GST (registration is required from $75,000 turnover). The ATO treats a continuous stay of 28 days or more as long-term accommodation. At most motels, where fewer than 70% of guests stay long-term, days 1–27 carry full GST and the concessional method (GST on half the price) can apply from day 28; input-taxed treatment is the alternative and, once chosen, lasts at least 12 months. Your accountant picks the method; we set the long-stay rate and tax line to match.
Victoria’s short stay levy: hotels and motels are excluded
Since 1 January 2025, Victoria has charged 7.5% of the total booking fee on stays under 28 consecutive days; a $1,000 booking carries a $75 levy. SRO Victoria excludes hotels, motels and hostels. It matters only if you also let an apartment or holiday home: the platform pays on bookings through sites such as Airbnb or Booking.com, and you pay on direct ones. Lodgement is quarterly once a property's booking fees reach $75,000 a year, otherwise annually by 30 January.
NSW short-term rental register and the 180-day cap
NSW short-term rentals must join the STRA Register ($65, then $25 a year). Non-hosted lets face a 180-day cap in Greater Sydney, Ballina and parts of Clarence Valley and Muswellbrook, and most of Byron Shire has had a 60-day cap (exempt development pathway) since 23 September 2024. Approved hotels, motels, serviced apartments, B&Bs and caravan parks don't register; a holiday house you let on the side does.

Free, cloud or self-hosted: three ways to own hotel software
Free tools and spreadsheets
A spreadsheet works for a few rooms sold only direct. Once you're on Booking.com and Expedia, every OTA booking is copied in by hand, and that gap is when double bookings happen. Before trusting a free download, check for a two-way channel manager.
Cloud subscription: we run it
On A$45 a month or A$399 a year, we host, update and support the system. Your property gets its own isolated database with encrypted daily backups, and you can export guests, bookings and invoices to CSV at any time.
Self-hosted licence: you own it
A$1,799 once buys full source code, installation, onboarding and three months' support, on a server you choose, including one in Australia. After that, updates are an optional annual plan, or we manage hosting and support for A$80–A$240 a month depending on the server and backups. See the self-hosted hotel management software script.
Guest data and where it is stored
If your business is covered by the Privacy Act, Australian Privacy Principle 8 can make you accountable for guest information sent to an overseas recipient; the OAIC explains when cloud storage counts as a use instead. Ask which region the cloud plan is hosted in and we confirm it in writing before you sign. For guest data kept onshore, run the licence on an Australian server.

What the hours suit. A motel needs help most in the evening: the check-in rush, a channel that didn't update, the night audit. We're online until midnight or later in Sydney, Melbourne and Adelaide, 11:30pm in Brisbane and 9:30pm in Perth. No mornings and no Sundays.
Outside those hours. Messages wait until we're back, and there is no 24/7 line. If the channel manager stopped syncing on a Sunday, you would close out rooms on the OTA extranets yourself until Monday afternoon. If that risk is unacceptable, or you need a technician on site, choose an Australian-based vendor.

What a PMS is, and how it differs from hotel management software
PMS means property management system: the record of every room, reservation, guest and charge, from the room rack to folios and the night audit. In Australia it also holds your GST settings and ABN, because every tax invoice starts as a folio. Hotel management software adds the tools around it: channel manager, booking engine, POS and reporting.
How many types of PMS there are
Three deployment types: cloud, on the vendor's servers; on-premise or self-hosted, on a server you control; and hybrid, which mixes both.
What PMS systems Australian hotels use
Large hotels commonly run Oracle OPERA Cloud or Mews. Independents often use Cloudbeds, RMS Cloud, Little Hotelier or Preno; motels also use GuestPoint and EzyRez, and holiday parks RMS Cloud or Newbook. For a wider top-10 list, see our vendor review.
Booking software, CRM and maintenance tools
The best hotel booking software for a small property reads live availability from the PMS, so a direct booking can't clash with an OTA one. Guest history in the PMS covers most CRM needs, and a job log inside the PMS keeps a broken room off sale; dedicated tools suit groups.
