Quick answer
Do I need a developer to connect my systems to Xero or MYOB, and what does it cost in 2026?
Often not. Xero's Shopify integration is free on every Xero plan and imports up to 90 days of history. Amaka is free up to 60 orders a month, then US$18 or US$49 a month, and it posts to MYOB as well. A2X starts from US$29 a month. A custom build costs A$9,800–A$98,000 depending on scope. Running fees go to the vendor, not to us: a Xero Custom Connection is A$10 a month inc GST (A$120 a year), while writing into MYOB needs Developer Partner at A$220 a month inc GST (A$2,640 a year), because the A$110 Developer Access level can only GET data.

Shopify and WooCommerce to Xero or MYOB: try these connectors before hiring
One entity, one currency: a listed connector usually reconciles fine for less a year than a day of developer time. Prices are as each vendor shows them, in US dollars.
Reconcile Shopify payouts in Xero in four steps
- Give each payment provider its own clearing account: Shopify Payments, Afterpay, Zip and PayPal each get one.
- Match each payout to its bank deposit, moving that amount out of clearing.
- Post the provider's fees to an expense account against the same clearing account.
- Post refunds against clearing too. Done right, each clearing balance returns to zero after every payout.

When a free app causes extra work
Xero's app rates 4.71 from 69 reviews on the Xero App Store AU, yet its low reviews cite duplicated invoices, stalled syncs and support calls booked a week out. Amaka's Shopify listing shows 2.0 from 15 reviews, mostly failed syncs. With Xero's 90-day history cap, a store joining mid-year may key months in by hand. Test these during a trial.
When a connector can't be fixed, we replace it: each order ID creates one ledger entry and no more, so a retry never doubles a sale, and a daily count of orders, entries and dollars shows a gap the next morning.
Stock limits, and which ERP suits Shopify
Xero's limits page gives 4,000 tracked inventory items as a design figure. Past that, an inventory app such as Cin7 or Unleashed should hold stock while Xero keeps the accounts. That answers the ERP question too: choose one stock master and have every other system read from it. MYOB Acumatica is a separate product with its own API, scoped as a different project.
WooCommerce and Stripe
Look for a listed connector naming WooCommerce or Stripe and your exact ledger, since MYOB Business and AccountRight aren't interchangeable, then trial it on a quiet week. Store-side work sits with WooCommerce builds and ecommerce development.

POS, clinic, rostering, job and CRM systems: listed links and where custom work starts
Most of these systems offer a Xero link, and some offer MYOB; what matters is whether it posts what your bookkeeper needs. We checked the Xero App Store AU on 6 Oct 2026. Vendors set and change their own fees, so read the current price on each listing.
Other systems, one line each

Does Xero have a POS system?
No. Xero doesn't sell a point-of-sale product; POS systems connect to it through apps listed in the Xero App Store.
Deputy validation errors in Xero
These usually trace to an employee or pay item in Deputy that isn't mapped to Xero Payroll, so fix the mapping first. A custom wages journal by tracking category only pays off across several sites.
Cliniko payments missing from Xero
Cliniko's Xero integration sends an invoice once created but a payment only once allocated, and credit allocations don't sync. A front-desk habit plus a daily unallocated list fixes most of it. Practice setup is on our clinic page.
What CRM works best with Shopify?
For the books, the one with a working link to your ledger: it creates invoices in Xero or MYOB, or reads payment status back, without duplicating contacts. If none fits, a custom integration or an automation workflow carries status both ways.

First-year cost of a custom Xero or MYOB integration, every fee listed
Build and hosting are ours; the rest goes to vendors at published rates. A write sync for one business, MYOB app in your name, costs A$2,640 a year in membership, against A$120 a year for a Xero Custom Connection.
Where a build sits within the band
- Near the floor: one store or POS system, one Xero organisation, one-way posting with clearing and per-site tracking.
- Mid-band: two or three source systems, or two entities with routing rules, plus a backfill.
- Top of band: several entities, a two-way CRM or job-system sync, an AccountRight desktop file, or reporting that needs Xero's Journals endpoint.
For payback, multiply the hours your bookkeeper spends each month re-keying and correcting postings by their rate. That, not an app subscription, is what a custom sync replaces. IP terms are on our custom software page.

One business syncing its own Xero books pays A$10 a month inc GST for a Custom Connection; an app serving many organisations pays from nothing on Starter to A$1,445 a month ex GST on Advanced. MYOB links still on the old scope stopped working on 1 September 2026.

Xero API pricing, Custom Connections and rate limits for one business
Xero has a public API, and since 2 March 2026 its cost depends on how many organisations an app connects. Below is Xero's tier list as published, in Australian dollars, tax exclusive.
Custom Connection: A$10 a month inc GST, billed to your organisation
A Custom Connection ties one Xero organisation to one integration and runs machine-to-machine, so the nightly sync needs nobody to log in. Xero bills the subscribing organisation, not the developer. It's open to organisations in Australia, New Zealand, the UK and the US, and building against Xero's Demo Company is free. Xero's pricing and policy FAQ says Custom Connections remain on the same commercial terms.
Rate limits that trip a busy sync
Per organisation, Xero allows 5 concurrent calls and 60 a minute, with the daily cap set by tier; one app can make 10,000 a minute overall. Over the limit, Xero returns HTTP 429 with a Retry-After header. Backfilling a year in one night is where syncs hit the ceiling, so we batch writes and spread backfills across nights.
Connecting Claude or another AI assistant to Xero
Xero's terms forbid training any AI model on API data, and forbid bots that simulate a user. An assistant reading figures through the API is a different use, but keep it narrow: a connection registered to your organisation, read-only report scopes such as accounting.reports.profitandloss.read and accounting.reports.balancesheet.read, and an AI service that doesn't train on your data. Core, Plus and Advanced charge A$2.40 per GB over the egress allowance; ingress is unlimited. For one business syncing its own books, the usual fee is the A$10 Custom Connection, paid to Xero directly: that invoice comes from Xero, not from us.

MYOB API access, the 13 scopes and the 1 September 2026 cut-off
MYOB has an API, but access is sold as a developer programme membership, not a fee per connection. The level matters, because the cheapest one reads data and nothing else.
How to get a MYOB API key
- Join the developer programme at Developer Partner if the sync writes anything; MYOB approves the account before an app can be registered.
- In my.MYOB's Developer tab, register the app with an HTTPS redirect URI to receive the API key and secret.
- An Administrator of the company file approves consent for the requested scopes.
For a one-business sync we set this up in your name, which is why A$220 appears in your first-year costs.
The 13 scopes, spelled as MYOB spells them
sme-general-ledger, sme-sales, sme-timebilling, sme-inventory, sme-contacts-customer, sme-contacts-supplier, sme-contacts-personal, sme-contacts-employee, sme-banking, sme-purchases, sme-payroll, sme-company-settings, sme-company-file. MYOB dates its page Nov 2025.
The spec lists only what a job needs: store sales take sme-sales, sme-contacts-customer and sme-banking; supplier bills take sme-purchases and sme-contacts-supplier; a journal takes sme-general-ledger.
Reconnecting after 1 September 2026
Databuzz and Calxa both report the CompanyFile scope's removal on that date. To reconnect, an Administrator approves consent, one ledger at a time. The authorisation code expires in 2–5 minutes, so approval and token exchange happen together, and unattended apps must ask the customer to reconsent through their portal.
MYOB API rate limit and status
MYOB's error reference lists a per-second and a per-day rate-limit error, with the daily one tied to the API key. Both return HTTP 403 named RateLimitError, not Xero's 429, so retry logic copied from a Xero sync won't back off on MYOB unchanged. MYOB posts service status at status.myob.com; check it before treating a failure as a code fault.
AccountRight desktop files vs MYOB Business
An AccountRight company file can sit in MYOB's cloud or on a Windows computer or office server. A cloud file is reached through MYOB's cloud API after a user approves access in my.MYOB; a local file is reached through the AccountRight API on that machine, so the sync needs software on site. Xero or MYOB: three differences for an integration
- Fees: Xero bills A$10 a month inc GST per Custom Connection; MYOB write access sits behind a A$220-a-month membership.
- Access: a Custom Connection runs machine-to-machine once set up; MYOB consent is granted scope by scope, per ledger, by an Administrator.
- Files: Xero is cloud-only, while an AccountRight file may live on a local machine.

Choosing a Xero or MYOB integrator: 7 checks before you hand over access
Xero runs a custom-made integration directory of developers, with a plain caveat: "Although Xero reviews each app in the Xero App Store, we can't give any guarantees. It's up to you to assess the performance, quality and suitability of any app before going ahead." MYOB's App Marketplace at myob.com/au/apps lists add-ons that pass MYOB's checks. Codingclave isn't in either, holds no Xero certification and has no MYOB partnership. Judge us, and anyone else, on seven checks.
1. Credentials registered in your name
The Xero app or Custom Connection, the MYOB app registration and the hosting account belong to your business. The developer is a user you can remove.
2. Least-privilege scopes
Only the scopes the spec needs, listed in writing. A sales sync has no reason to touch payroll.
3. Demo Company or a file copy first
Nothing writes to the live ledger until it posts correctly into Xero's Demo Company or a copy of your MYOB file.
4. Idempotent posting
Ask what happens when the same order arrives twice. The right answer is one entry.
5. A variance report before go-live
Counts and totals checked against the source in a parallel run before the old process stops.
6. Repository, keys and runbook handed over
Another developer can pick the sync up without starting again.
7. IP assignment in the contract
