Overview
We automate it on n8n, Make or Zapier and add AI only where a document needs reading or a reply needs drafting. You get one fixed AUD quote, from A$1,950. Every account and key sits in your business name, and nothing pays a bill or messages a customer until one of your people approves it. A two-minute screen recording is usually enough for Ashish Sharma, who leads every build, to price it.

Quick answer
How much does an AI automation agency cost in Australia?
Published Australian figures run from A$110 a week including GST for a managed subscription, through 'around $500' (HYPHN) and $4,000–$5,000 plus GST (Osher Digital) for fixed-price projects, to A$15,000 and up for Spark Interact's small-business band. Our builds are a fixed A$1,950–A$23,500, take 2–6 weeks and carry no GST, because we are an overseas supplier that isn't registered for it. Running costs go on your own card: about A$13–A$56 a month for the platform plan at 40 bills a week (Make, n8n or Zapier, converted at the RBA rate on 6 October 2026), plus roughly A$1 of AI on Claude Haiku 4.5.

What an AI automation agency does, and the four kinds selling it in Australia
An AI automation agency connects the apps a business already pays for so information moves without retyping, calling an AI model only where a step needs reading, sorting or writing. Every flow has four parts: a trigger that starts it, rules that route it, an AI step where text needs judgement, and an approver who signs off anything with consequences.
Australia had 2,814,778 actively trading businesses at 30 June 2026 (ABS), and 42% of SMEs were using AI by April 2026, with 14% more planning to (NAB).
What are some AI automation agencies?
You'll meet four kinds: a managed subscription (AI Automation Agency), fixed-price boutiques (Osher Digital, HYPHN, Microknot), a large agency (Spark Interact), and firms such as Aivy and AI Lab Australia that publish no typical figure. Their prices are lined up next.
Which AI company is the best in Australia?
No list answers that neutrally. The two 'best' roundups you're likely to find, Code Curators (7 August 2026) and Team 400 (placed beside KPMG, Deloitte, Accenture and PwC, 1 April 2026), each rank their own publisher first and show no prices. Judge on fit, using the four checks below.
| Type | How you pay | Who owns the workflow | Published entry point (AU) | Watch for |
|---|---|---|---|---|
| Managed subscription, e.g. AI Automation Agency | Weekly fee, platform included | Not stated; its page gives no export path, though it advertises no lock-in | A$110 a week inc. GST | Unused tasks don't roll over |
| Fixed-price boutique: Osher Digital, HYPHN, Microknot | One-off project fee | Set by each contract | 'Around $500' (HYPHN); from $4,000 + GST (Osher); about A$5,000 (Microknot) | What the opening figure leaves out |
| Large agency or consultancy: Spark Interact; KPMG, Deloitte, Accenture, PwC | Banded projects | Set by contract | A$15,000 (Spark) | A floor above most SMB budgets |
| Offshore founder-led: Codingclave | Fixed AUD quote; platform billed to your card | You: workspace, keys, JSON exports | A$1,950 | Live overlap only from mid-afternoon (1.5 h on AEDT) |
Four checks before signing with anyone, us included:
- Is the price in writing, with GST, platform plans and AI usage clearly in or out?
- Whose name are the workspace, API keys and app connections in?
- Can you export every workflow if you leave?
- Who approves payments and customer messages, and who hears about a failed run?
Even a quote costs different amounts: AI Automation Agency charges A$110 for a 30-minute audit, refunded only if you sign up on the call, while HYPHN and Spark Interact offer a free 30-minute consultation and we price from a screen recording for free.

AI automation agency pricing in Australia: seven agencies side by side
Neither roundup prints prices, so each figure below comes from the agency's own site on 6 October 2026. Check the GST column first: of the seven, one includes GST, one adds it and five don't say.
| Provider | Base | What the figure covers | GST basis as published | Running costs stated? |
|---|---|---|---|---|
| AI Automation Agency | A$110 / A$220 / A$330 a week | Up to 3, 7 or 12 steps and 1,100, 2,200 or 3,300 tasks a month; 1,100 more tasks $110 | Includes GST | Platform, hosting and API fees included; tasks don't roll over |
| HYPHN | 'Start around $500'; senior consultants $150–$250 an hour | Its cost article: builds $1,500–$5,000; year one about $2,000–$7,000 | Not stated | Tools $50–$150 a month (article) |
| Osher Digital | AI agents from $4,000; automation and integrations from $5,000 | Business process audit from $7,500; custom business system (ERP) from $15,000 | Plus GST | Not stated |
| Microknot | About A$5,000 for simple projects | Sophisticated applications A$15,000 to A$50,000+ | Not stated | Not stated |
| Spark Interact | $15,000–$50,000 for a small business | Medium $50,000–$150,000; large $150,000+ | Not stated | Not stated |
| Aivy | 'A few thousand dollars' for most SMB projects | Fixed scope; a pilot workflow live in 4–6 weeks; no figure | Not stated | Not stated |
| AI Lab Australia | No price list | Savings-calculator inputs only, with builds up to $100,000 | Not stated | Calculator inputs up to $3,000 a month |
| Codingclave | A$1,950–A$23,500 per build | 2–6 weeks; accounts in your name | No GST added: overseas supplier, not GST-registered (see the note under our price list) | Yes, worked out below |
Three things the table shows:
- Starting points sit far apart. Spark Interact's small-business band opens at A$15,000, three times the Osher and Microknot floors.
- Two sites give no usable figure. Aivy describes its price in words; AI Lab shows calculator inputs.
- Running costs rarely appear. Only the subscription bundles its platform, and only HYPHN's article prices the tools.

Six AI automation examples for Australian small businesses, trigger to approver
In each example the AI does one narrow job, and a named person signs off before anything reaches a customer or a ledger.
Bills, invoices and the accounting side
Both accounting examples stop at a draft, so nothing posts until your bookkeeper agrees. The AI only reads the PDF and never touches the Xero API; the workflow creates the draft through a Xero connection registered to your business. API fees and MYOB scopes are on our Xero and MYOB integration page.
Trades, clinics, agents and colleges
Trade quote forms and missed-call text-back: tradies. Clinics: the privacy section below, plus allied health and dental. Also real estate and education and migration agents.
| Job | Apps | Trigger | AI step | Who approves | What moves the price |
|---|---|---|---|---|---|
| Completed job to draft invoice | ServiceM8 → Xero | Job marked complete | Turns technician notes into line items; flags unquoted materials | Office manager | Job types, price-book size |
| Supplier bill email | Gmail or Outlook → Xero or MYOB | Bill PDF arrives | Reads supplier, amount, due date, GST | Bookkeeper approves the draft | Supplier count, PDF quality |
| Morning sales summary | Shopify → email or Slack | 7am daily | Five lines on orders, refunds, low stock | None: read-only | Number of stores |
| Enquiry triage | Website form → HubSpot | New submission | Sorts by type and urgency; drafts a reply | Staff edit and send | Enquiry types, routing rules |
| Clinic intake summary | Intake form → practice inbox | Patient submits | Summarises the visit reason, flagged answers first | Reception or practitioner | Form length, health data |
| Portal enquiry routing | Property portal email → CRM | Enquiry lands | Pulls address and intent (inspection, price guide, appraisal) | Listing agent | Agent count, CRM |

n8n, Make, Zapier or Power Automate from Australia: usage, currency, GST and hosting
These platforms count usage in different units and bill in different currencies, so one flow can cost very different amounts. Power Automate suits teams already working in Microsoft 365.
Is Zapier worth it?
For two- or three-step flows between apps it already connects, often yes: quick to set up and easy for staff to read. Each action step uses a task, though, so busy or long flows usually suit n8n, where a 12-step run counts as one execution.
Where the data actually sits
n8n Cloud keeps data in Frankfurt, and Claude's pricing page offers US-only processing at 1.1 times the token price but shows no Australian option. If a provider promises Australian data residency, ask which server handles which step.
| Platform | What counts as usage | Entry paid plan | Billed in | GST from Australia | Self-host? |
|---|---|---|---|---|---|
| n8n | One execution per full run, however many steps | Starter €20 a month billed annually for 2,500 executions; Pro €50 for 10,000; 50% off Business for eligible firms under 20 staff | Euro; your bank converts | Not covered on the pricing page | Yes, Community Edition; Cloud data sits in Frankfurt |
| Make | One credit per module action | Free: 1,000 credits, 15-minute minimum interval. Paid from US$9 a month for 5,000 credits | US dollars | Not covered on the pricing page | No self-hosted edition listed |
| Zapier | Tasks: each action step that runs | Free: 100 tasks, two-step Zaps. Professional US$19.99 a month billed yearly for 750 tasks, US$39 for 1,500 | USD, or AUD converted at payment | 10% unless you add a GST-registered ABN (Zapier help) | No |
| Power Automate | A licence per user | Premium AU$22.40 per user a month, paid yearly | Australian dollars | Not stated on the pricing page | No |

What one automation costs to run each month: 40 supplier bills a week, worked through
Forty supplier bills a week is about 173 a month, through six steps: new email, fetch the PDF, AI read, find the supplier in Xero, create the draft bill, notify the bookkeeper. Each one-page bill sends Claude Haiku 4.5 about 2,500 tokens and gets 400 back; at US$1 in and US$5 out per million, that's about US$0.78 a month. Scanned or longer bills cost more, still in cents.
What it gives back
If keying a bill takes 4 minutes, 173 bills is about 11.5 hours a month: roughly A$460 at A$40 an hour. Less a A$14–A$57 platform bill, that frees about A$400–A$450 a month, so each A$1,000 of build price returns in two to two and a half months. Assumptions, not results; use your own minutes and rate.
| Item | Monthly volume | n8n | Make | Zapier | Managed subscription |
|---|---|---|---|---|---|
| Usage counted | 173 bills | 173 executions | About 1,040 credits (6 modules × 173 runs) | About 865 tasks (5 action steps) | 6 steps, over the Tier 1 limit of 3 |
| Plan needed | – | Starter, €20 a month billed annually | US$9 plan for 5,000 credits (Free stops at 1,000) | 1,500-task tier, US$39 a month billed yearly | Tier 2, A$220 a week inc. GST |
| AI tokens on Haiku 4.5 | ≈ 432,500 in, 69,200 out | About US$0.78 | About US$0.78 | About US$0.78 | Included |
| Approximate AUD | – | About A$33 | About A$14 | About A$57, plus 10% GST without an ABN | About A$953 |
The platform plan is the real bill. Double the volume and n8n Starter and Make's 5,000 credits still cope, while Zapier's 865 tasks pass the 1,500 tier. A Make trigger polling on a schedule can also spend credits on empty checks. Tell us your weekly volume and we'll name the plan.

Managed subscription or a build you own: one automation over three years
One well-known provider rents automations by the week, which suits some businesses. Here are both routes over three years. We can't price this exact flow unseen, so the owning side starts from our floor; foreign-currency lines use the RBA rate on 6 October 2026.
When the subscription is the better buy
- A trial under about six months: our floor takes roughly 19–23 weeks to pay back against Tier 1, or 21–26 if you're GST-registered and claim back its GST (about A$10 a week).
- Nobody on your side to act on a failure alert.
- Rules that change monthly.
When owning wins
Past break-even, and on the day you leave: the JSON export and keys stay with you, with no $110 task top-ups. The subscription's $0 setup is a limited-time offer for 'eligible standard framework builds', capped at 10 new clients a month, and despite advertising no lock-in, its page doesn't say how you'd take a workflow with you. Even our band's top price plus three years of n8n and top-tier monitoring comes to about A$33,300, under three years of Tier 2.
| Cost line | Year 1 | Year 3 total |
|---|---|---|
| Managed Tier 1 (up to 3 steps), inc. GST | A$5,720 | A$17,160 |
| Managed Tier 2 (covers the 6-step bill flow), inc. GST | A$11,440 | A$34,320 |
| Own: build, one-off | From A$1,950 (band to A$23,500 by scope) | No repeat fee |
| Own: platform on your card | n8n €240 (≈ A$386) or Make US$108 (≈ A$155) | n8n €720 (≈ A$1,159) or Make US$324 (≈ A$465) |
| Own: optional monitoring and fixes | A$960–A$2,880 | A$2,880–A$8,640 |
| Own: AI tokens at 173 bills a month | Under A$15 | Under A$45 |
| Break-even against Tier 1, if quoted at our A$1,950 floor | About 19 weeks with your own n8n plan; about 23 with A$80 monitoring added | – |
| Payback against Tier 2 | About 5 weeks for every A$1,000 of build price | – |
On a managed plan already? Send us its tier and step count for the three-year figure on owning that flow.

The Privacy Act automated-decision rule from 10 December 2026: does your automation need a line in your policy?
From 10 December 2026, APPs 1.7 to 1.9 require a covered business's privacy policy to describe the personal information its computer programs use and the decisions they make, or substantially and directly help make, where a decision could significantly affect someone's rights or interests. On 30 September 2026 the OAIC released a fact sheet, a flowchart and an agency fact sheet, and updated its APP 1 guidelines, after 90 submissions.
Most businesses turning over $3 million or less sit outside the Act, but health service providers are covered at any turnover (OAIC). A final human approval doesn't by itself take a flow out of scope.
Does the AI vendor train on what it reads?
Anthropic says that by default it doesn't train its models on inputs or outputs from its commercial products, the API included (privacy page, checked 6 October 2026). The keys are in your name, so that default covers your account.
| Automation | Personal information used? | Could the output significantly affect a person? | Likely in scope? | What to record |
|---|---|---|---|---|
| Shopify sales summary to the owner | No | No | Unlikely | Nothing extra |
| Supplier bill draft | Business data; sole-trader names possible | No | Unlikely | Fields the AI reads |
| Enquiry triage that decides who gets a callback | Yes | Possibly | Check the OAIC flowchart | Routing rules, who can override |
| Clinic or NDIS intake summary that shapes priority | Yes, health information | Yes | Likely; health providers are covered at any turnover | Data used, decision type, reviewer |
| Tenant or applicant pre-screen | Yes | Yes | Likely; human review alone doesn't exempt it | Criteria, data sources, review step |
Before 10 December, send us a list of your automations and we'll note the personal information each uses and the decision it feeds, for your adviser to review. General information, not legal advice; health practices should also read our allied health clinics page.

Which job to automate first: a five-question score you can do now
Score each candidate job 0, 1 or 2 on the five questions, for a total out of 10. No email address needed.
Four guardrails on every build
- A person approves before money moves or a customer is messaged.
- Each AI key carries a spend cap set in your own account.
- A failed run alerts a named person, not a shared inbox.
- A written off switch lets you stop any flow without calling us.
| Question | 0 | 1 | 2 |
|---|---|---|---|
| How often does the task happen? | Less than weekly | 1–4 times a week | Daily or more |
| Minutes each time | Under 2 | 2–10 | More than 10 |
| What a slip costs when done by hand | Little | Rework or an annoyed customer | Money, a lost job or a compliance problem |
| Does it follow fixed rules? | Mostly judgement | Rules plus some reading | Clear rules, or reading a person can check |
| Personal data involved | Health, ID or financial details | Names and contact details | Business data only |
Seven or more makes a strong first build; four to six often suits a built-in feature of an app you already pay for; under four, leave it manual. Send us your top score and the task.

AI chatbots, AI receptionists and voice agents: where our work starts and stops
You'll also see AI receptionists advertised. Here's what we do and don't build.
Chatbots: yes
Website and WhatsApp chatbots that answer from your own content and hand over to staff are quoted in the same A$1,950–A$23,500 band. Our chatbot cost guide covers the cost drivers in US dollars.
Phone voice agents: no
We don't build agents that answer phone calls; a dedicated receptionist product is the better route for that.
After the call: yes
Many receptionist tools send an email or webhook when a call ends. We build what follows: a CRM record, a job in your system and a drafted follow-up awaiting staff approval. Picked a tool already? Send us its name for an after-call quote.

An AI automation agency in India for an Australian business: hours, ownership, payment, support
Searched for an AI automation agency near me? We aren't nearby, so here is how it works. Codingclave Development LLP was started in 2017 by Ashish Sharma in Lucknow, India. Our day begins after lunch on the east coast: a short live window for a call, then anything sent by mid-afternoon is worked on overnight and ready by morning. Projects run over WhatsApp, email and video calls; there is no Codingclave office, staff member, ABN or phone number in Australia. See our reviews, past work and guide to hiring from Australia.
Ownership
Workspace, AI keys and app connections are in your business name from day one. Handover brings the n8n or Make JSON exports and a runbook, and our access is removed unless you choose ongoing monitoring.
Payment and support terms
The AUD figure is fixed before work starts, and platform and AI charges go on your own card, so we never resell usage. Monitoring and fixes are optional at A$80–A$240 a month. The payment split and methods, and any warranty or bug-fix period, are confirmed in writing for your business before you sign.
If an app changes and a flow breaks
The failure alert reaches a named person on your team, and the off switch stops the flow without waiting on us. The repair then falls under your contract's bug-fix terms or a monitoring plan.

What we charge for automation work
Each build gets one fixed AUD figure in a written quote, with no hourly meter. Automation flows are quoted in the first band, shared with our chatbot work; the others apply when a job outgrows a platform. The price inside a band rises with each extra app, rule set and approval path.
