Overview

Among Sydney's ranking sellers, Access POS prints A$2,390⁠–⁠A$4,770 ex GST for a set-up package on a time-limited promotion (Package B lists at A$3,690), and Square Plus is A$129 a month per location. With card surcharges gone, ours leaves the card provider your call. We're a Lucknow, India team on WhatsApp, email and video, 3:30pm⁠–⁠12:30am AEDT, Monday to Saturday, with no phone line or site visits.

Two are genuinely Sydney pages: Triniteq's, and the POS System Sydney site run by Access POS, which keeps its prices on accesspos.com.au. A group with rooms in the CBD and Parramatta wanting a technician at the door belongs with Triniteq or OrderMate. What each column leaves out. Access POS is the only column with a cash drawer priced in, and Epos Now's terminal has its own printer (confirm what the A$649 tier includes). Both Square columns lack an iPad, printer and drawer; ours assumes you own a tablet or PC. Access POS quotes ex GST and Square states no basis. Ours carry no GST: we're an overseas supplier, not registered for Australian GST.

The licence, fairly. If we run the server for a licence, hosting and support is A$80 to A$240 a month, so A$1,409 to A$3,329 in year one (our arithmetic): a single café is usually better off on the A$45 plan. And software is the small number: on A$500,000 of card sales, 1.6% against 1.1% is A$2,500 a year (our arithmetic), more than any software line here.

Why a new Sydney venue should avoid a long POS contract: what 19,446 NSW cafés and restaurants tell us

The ABS counts for June 2025 never mention POS brands, but they say a lot about how long an agreement a new venue should sign. Figures are for NSW cafés and restaurants (ANZSIC 4511) unless stated.

  • One in six exits each year

    NSW ended June 2025 with 19,446 cafés and restaurants, up 1.3%. Beneath that steady total sat 3,481 entries and 3,291 exits: an 18.1% entry rate against a 17.1% exit rate. A multi-year agreement bets on staying in the group that keeps trading.

  • Most are small

    4,603 had no employees and 7,386 had one to four; just 1,553 had 20 or more. Few venues that size need enterprise reporting, or should pay monthly for it.

  • Most turn over A$200k–A$2m

    12,083, about 62%, turned over A$200,000 to A$2 million. At the bottom of that band, Square's 1.6% in-person rate comes to A$3,200 a year in card fees (our arithmetic), well above a A$449 licence, which is why the surcharge change matters.

  • Takeaways churn faster

    NSW takeaway food services (class 4512) grew 4.0% to 8,436, with a 24.3% entry rate and a 20.3% exit rate. Pubs, taverns and bars fell 1.7% to 2,290.

Which part of a POS works hardest depends on your street. Below are Sydney's 15 densest small areas for accommodation and food services businesses (ABS division H, which includes accommodation), with the features we'd put through the demo first. Service patterns are our reading.

By council area, the City of Sydney LGA had 4,280 division H businesses in June 2025, up from 4,118; Canterbury-Bankstown had 1,635 and Parramatta 1,409. Adding the ABS SA2 counts gives Greater Sydney about 25,900 (our arithmetic, accommodation included).

KDS or printed dockets? Dockets suit a small kitchen with one pass. With orders landing from several terminals at once, ageing timers show which ticket has waited longest. Ours includes the KDS software; on Square Free it's A$25 a month per device, with Square's 21.5-inch display at A$999.

Big nights. Vivid Sydney runs 28 May to 19 June 2027, per the festival site; New Year's Eve falls on a Thursday this year. Load a shorter event menu after close beforehand, raise low-stock alert levels and keep the sold-out toggle handy.

No more card surcharge line: what 1 October 2026 changes when you pick a POS

Card surcharges are over for eftpos, Mastercard and Visa payments. Under the Reserve Bank's 31 March 2026 decision, from 1 October a business can't add a fee when someone pays by debit, prepaid or credit card over those three networks, and domestic interchange caps came down the same day. Amex, phone wallets and buy now pay later went to a separate consultation, so check the RBA's release and later updates before surcharging those.

Why it matters for your POS. A '$0 POS' paid for through card processing now costs you on every sale. Pratham's A$0 depends on its own EFTPOS bundle at an unpublished rate; Square publishes 1.6%; Triniteq says it adds no transaction fee of its own. Buy the card machine and the POS as two separate decisions and you can move to a cheaper rate later without replacing the till. The card-fee maths is on our national page.

What our POS runs at a Sydney service, and what we check before you pay

Everything below comes with both the A$449 licence and the A$45 plan.

  • On the floor

    A visual floor plan shows what's seated, open or ready to clear. Bills split and merge, tips are recorded, and reservations sit beside walk-ins.

  • In the kitchen

    Orders reach the kitchen with modifier sheets, so 'no onion, oat milk' arrives as written. The KDS has ageing timers, so the oldest ticket stands out at the pass.

  • At the counter

    One tap on the sold-out toggle pulls a dish from every terminal. Order history settles refunds, and PIN login names the staff member behind every void and discount.

  • Friday, 11pm

    After the last table, the dashboard shows the night's revenue, covers, average order value and payment mix; daypart and top-dish reports show which hours and plates earned it. If the lamb ran low, recipe-level stock has flagged it, so mark it sold out before Saturday lunch. A second venue shares one central menu.

  • Confirmed in writing before you sign

    Never assumed: that your EFTPOS terminal links to the POS, that Uber Eats and DoorDash orders can flow in (or what that costs as custom work), the Australian tax set-up and the hosting region. A terminal that can't link still takes payments on its own.

  • Delivery after Menulog

    Menulog took its last Australian orders on 26 November 2025, so it isn't on our list. IBISWorld's 2024 figures, reported by the ABC, put Uber at 53.8% of the market and DoorDash at 14.6%, so ask about those two.   • Paying an overseas supplier

Taking over a Sydney site? Reuse the terminal, printers and drawer already there

Check what the last operator left before buying POS hardware in Sydney. Access POS packages a new Windows all-in-one; Square and Epos Now sell their own kit. Ours runs on tablets, POS terminals, desktops and laptops, so an existing touch terminal may well do; we check it in the live demo.

Before the demo, photograph:

  • the model label on the terminal or tablet
  • the receipt and kitchen printer labels, and how they connect (USB, network or Bluetooth)
  • the cash drawer, and whether its cable runs to the printer
  • the card terminal, and who provides it

We work Monday to Saturday, 10am to 7pm India time: 3:30pm to 12:30am in Sydney while NSW is on daylight saving (4 October 2026 to 4 April 2027).

  • If something fails at breakfast or lunch

    Those hours fall outside ours. Plan for it at set-up: a card machine that works without the POS, a printed fallback sheet for counter and kitchen, and the WhatsApp message to send us. Ask us in the demo to show what the POS does when the internet drops.

  • Choose Triniteq, OrderMate or Square Plus instead if…

    …you need a phone answered at 7am, a technician on site, Sunday cover, or POS and payments from one Australian business. OrderMate and Square Plus advertise 24/7 support (Square Free is weekdays 9–5 AEST), and Triniteq has Australian technicians.

  • Who we suit

What does a restaurant POS cost per month in Sydney?

On prices checked 6 October 2026: A$0 on Square Free, A$45 on our hosted plan, from A$78 on Epos Now's care subscription, A$129 per location on Square Plus, and A$40 to A$340 plus GST on Lightspeed, per Mobile Transaction. Access POS and our A$449 licence carry no software fee in year one. Card fees come on top, and you now carry them yourself.

What do Sydney POS installers charge for a restaurant package?

Access POS, the one that publishes a list, shows Package B at A$2,390 ex GST on a time-limited promotion, against A$3,690 at list: terminal, printer, cash drawer, software, configuration, and 12 months' licence and phone and remote support. An EFTPOS link and stock control are A$300 each. Month 13 onward isn't priced, so ask. Triniteq and OrderMate quote on request; get both itemised.

What is the best POS system for restaurants in Australia?

A CBD coffee counter, a Haymarket banquet room and a four-venue group want different things, so start from your service. A counter café on modest card volume may suit Square's Free plan or Zeller. A group wanting technicians on call leans towards Triniteq or OrderMate. An independent venue wanting a fixed software cost and ownership can buy a licence outright, as with ours at A$449. Test any shortlist with your real menu.

Which POS systems do Sydney restaurants and cafés use most?

We found no verified market-share figure, so treat 'most used' claims with caution. The names recurring in national comparisons are Square, Lightspeed, Epos Now, Zeller, Abacus and Impos, all six reviewed in Mobile Transaction's guide updated 23 August 2026. Sydney searches also surface Triniteq's PowerEPOS, which names venues such as Icebergs Dining Room & Bar, and OrderMate. Ask owners on your strip what they run.

What are POS system fees?

Up to six kinds: software (a one-off licence or monthly plan), hardware (terminal, printers, drawer, card reader), add-ons such as Access POS's A$300 EFTPOS link, licence and support after year one, per-device charges such as Square's A$25 a month KDS on Free, and card processing on every sale. That last one weighs more now the surcharge line has gone from eftpos, Mastercard and Visa payments.

What happens if the POS or internet goes down during a Sydney lunch service?

Plan for it, because breakfast and lunch fall outside our hours. A card machine from your own provider keeps taking payments without the POS, so trade carries on. At set-up we agree a printed fallback for counter and kitchen and the WhatsApp message to send us; it's waiting when we come online at 3:30pm AEDT. Ask us in the demo to show what the POS does offline. If your counter can't carry that risk, choose a seller with 24/7 phone support.

Can I reuse the POS hardware left at a Sydney venue I'm taking over?

Possibly, but we won't promise it unseen. Our POS runs on tablets, POS terminals, desktops and laptops, so a touch terminal or tablet left behind may well run it. Photograph the model labels on the terminal, printers and cash drawer, and note who provides the card terminal. We check them in the live demo and flag anything that fails before you pay.

Is there restaurant POS support on Sydney time, including weekends?

From us, Monday to Saturday, 3:30pm to 12:30am AEDT until 4 April 2027, then 2:30pm to 11:30pm AEST. That covers dinner service and after-close changes, but not breakfast, most of lunch or Sundays, and there's no phone line or on-site technician. For round-the-clock or on-site help, look at OrderMate or Square Plus, which advertise 24/7 support, or Triniteq's Australian technicians.
