Best Hotel Software for Small + Boutique Hotels India 2026
Why "small hotel" software is its own category in India
I have built hotel software for everything from a 9-room heritage haveli in Bundi to a 180-room business hotel chain. Here is what nobody tells you: the under-50-room market is the most underserved segment in Indian hospitality tech.
Enterprise PMS like IDS FortuneNEXT and Oracle OPERA are built for 100-plus room properties with a full IT team. They cost ₹50,000-₹2,00,000/month, take 3-4 months to implement, and need a dedicated front-office trainer. Your 12-room boutique stay in Coorg cannot absorb that overhead.
On the other end, Excel plus WhatsApp plus three OTA extranet logins is the reality for roughly 60% of small Indian hotels in 2026. It works until it does not — one double-booking on a long weekend, one missed Goibibo rate update, one guest complaint about a slow check-in, and you are losing money you cannot get back.
This guide is for the in-between — the 5 to 50 room property owner who wants a real PMS without the enterprise pain. Boutique resorts. Hill-station stays. Heritage havelis. Airbnb-listed homestays. Coastal B+Bs. Eight years of building for this segment, condensed.
TL;DR — 8 PMS ranked for small + boutique hotels
| PMS | Best for | Starting price (INR) | OTA breadth | Setup time |
|---|---|---|---|---|
| eZee Absolute Lite | Budget 10-30 room hotels | ₹2,000/mo | All Indian OTAs + Booking.com | 1 week |
| Djubo Express | Revenue-focused boutique stays | ₹2,395/mo | Strong MMT + Goibibo | 1 week |
| Hotelogix Lite | Small chains (2-5 properties) | ₹3,000/mo | All major + niche | 2 weeks |
| Cloudbeds | Boutique resorts + hybrid Airbnb | ₹6,000/mo | Global, weaker Indian OTA depth | 2-3 weeks |
| RoomRaccoon | Boutique with high direct-booking ratio | ₹5,500/mo | Strong booking engine | 2 weeks |
| BedBooking | Solo property under 15 rooms | ₹1,500/mo | Booking.com + Airbnb only | 3 days |
| Little Hotelier | B+B + homestay specialist | ₹4,000/mo | SiteMinder backed, broad | 1-2 weeks |
| RMS Cloud | Heritage + boutique premium tier | ₹10,000/mo | Strong, custom workflows | 3-4 weeks |
| Codingclave Custom (Profile A) | Unique workflows, multi-property | ₹2-6L one-time + ₹3-8K/mo | Build exactly what you need | 8-12 weeks |
What "small hotel" actually means in India 2026
The market is not one thing. Each sub-segment has different software needs:
Boutique resorts (15-50 rooms). Goa, Coorg, Wayanad, Munnar. Mix of direct website bookings, MakeMyTrip Deluxe Collection, and Booking.com Genius. F+B is usually a small restaurant. ADR ₹4,500-₹12,000. Needs a real channel manager, booking engine, F+B POS, and guest profile history.
Homestays + Airbnb hybrid (3-12 rooms). Urban edge-of-city, hill stations, beach towns. Often family-run. Mostly Airbnb plus direct WhatsApp. Needs Airbnb Hub sync, self-check-in flow, WhatsApp templates, and lightweight billing. Most enterprise PMS are overkill here.
Heritage properties (8-40 rooms). Rajasthan havelis, Kerala backwater villas, Himachal cottages. Higher ADR (₹8,000-₹35,000). Bespoke check-in rituals, cultural F+B billing, guest history matters. Many need custom builds.
B+Bs (4-15 rooms). Pondicherry, Goa, Coorg. Direct booking dominant, Airbnb secondary. Owner-operated. Needs simplicity above all.
Budget small hotels (20-50 rooms). Tier-2 cities, highway pit-stops, business travel. Volume play. Needs strong channel manager, OYO/Treebo integrations if franchised, fast check-in.
A 9-room Pondicherry B+B and a 35-room Rajasthan haveli have nothing in common except room count. Pick PMS by use-case, not by room count.
Real cost ranges (no marketing fluff)
After pricing this for clients across India in the last 12 months, here is the honest cost band:
Solo property, under 20 rooms: ₹1,500-₹6,000/month all-in. That includes PMS, channel manager, and booking engine. BedBooking, Stayflexi, eZee Absolute Lite, Djubo Express all sit in this band. Anything quoted above ₹6,000/month for under 20 rooms is usually upselling unnecessary modules.
Small chain, 2-5 properties, 30-80 rooms combined: ₹5,000-₹20,000/month per property. Hotelogix Lite, Cloudbeds, Little Hotelier. Multi-property dashboards are the differentiator here.
Boutique + heritage premium tier: ₹10,000-₹35,000/month. RMS Cloud, Clock PMS, custom builds. Justified by high ADR (over ₹10,000/night) where 1% RevPAR uplift covers the cost.
Custom-built PMS: ₹2,00,000-₹6,00,000 one-time plus ₹3,000-₹8,000/month hosting and support. Pays back in 14-18 months for properties with unique workflows that generic PMS cannot fit.
Watch the hidden costs: setup fees (₹5,000-₹25,000), per-channel sync fees (some PMS charge ₹500/month per OTA after the first three), SMS gateway costs, payment gateway charges (2-2.5%), and training (₹3,000-₹10,000 one-time).
The 12 features every small hotel actually needs
Strip away the enterprise feature lists. These twelve are non-negotiable for a small property:
- Reservation calendar — drag-and-drop room assignment, color-coded by source
- Channel manager — two-way sync with at least MakeMyTrip, Goibibo, Booking.com, and Agoda
- Booking engine on your website — direct bookings without commission
- Online payments — Razorpay or PayU integration, UPI accepted
- GST-compliant billing — auto-pick 12% or 18% based on tariff slab
- WhatsApp guest messaging — pre-arrival, check-in, checkout, review request
- Housekeeping module — room status, task assignment, basic enough for one supervisor
- Guest profile history — repeat guests, preferences, blacklist
- Mobile app for owner — see today's occupancy from your phone
- Basic reports — occupancy %, ADR, RevPAR, source-of-business
- F+B POS integration — if you have a restaurant or in-room dining
- Multi-rate plans — corporate, walk-in, repeat guest, promotional
If a PMS demo cannot show all twelve in 30 minutes, skip it.
The 8 features you are sold but do not need (under 50 rooms)
Sales reps will push these. Decline politely:
- Revenue management AI — at under 50 rooms, your gut beats the algorithm. Save the ₹3,000-₹8,000/month.
- Conference + banquet module — unless you actually host events
- Multi-currency — you bill in INR, period
- Spa + wellness module — unless you actually run a spa
- Loyalty program engine — your repeat-guest WhatsApp list is the loyalty program
- Reputation management dashboard — Google + TripAdvisor are free
- Advanced HR module — small properties run HR on Excel
- Procurement + inventory for housekeeping — paper register works at this scale
Every module you decline saves ₹500-₹2,500/month.
OTA integration for small properties — what actually matters
Indian small hotels do not have the same OTA mix as global properties. Here is what matters in 2026:
MakeMyTrip MMT Connect. Mandatory if you want any meaningful Indian leisure traffic. eZee, Djubo, Hotelogix, and AxisRooms are certified partners with two-way sync. Cloudbeds and RoomRaccoon work but via integration partners — sync can lag 5-15 minutes which causes overbookings on high-demand dates.
Goibibo + ibibo Group. Same connect API as MMT. If MMT works, Goibibo works.
Booking.com Hotel Manager. Mandatory for inbound international and metro business travel. All major PMS support it natively.
Agoda YCS (Yield Control System). Important for Southeast Asian inbound. eZee and Hotelogix have the cleanest Agoda integration.
Airbnb Hub. Critical for the homestay-hybrid segment. Cloudbeds and RoomRaccoon lead here. Indian PMS like eZee and Djubo have basic Airbnb support but the self-check-in flow is weaker.
OYO partner portal. If franchised. Most generic PMS do not sync with OYO. AxisRooms and OYO's own Hotelopia have native support.
Direct booking engine on your website. Easily the most important "channel." Every percentage point of bookings you move from OTA to direct is 15-22% margin recovered.
Why every small hotel must have a direct booking engine
I will be blunt. If you only sell through OTAs, you are giving 15-22% of every booking to MMT and Booking.com forever. For a 20-room boutique stay at ₹6,000 ADR with 70% occupancy, that is roughly ₹6.3 lakh/year in commission paid.
A good booking engine on your own website plus Google Hotel Ads plus a WhatsApp re-marketing flow can shift 25-40% of bookings to direct within 12 months. On the same property that is ₹1.6-₹2.5 lakh/year recovered — pays for the entire PMS plus website plus marketing budget.
Booking engine essentials:
- Mobile-first design (over 70% of small-hotel bookings come from phones)
- One-click payment (UPI, Razorpay, PayU)
- Multi-room booking
- Promo codes
- Auto-confirmation WhatsApp + email
- Direct add to Google Calendar for guest
eZee Reservation, Djubo BE, Cloudbeds myFrontDesk, and RoomRaccoon's RaccoonRez are the strongest options. If you want a custom booking engine matched to your brand, that is where I usually come in.
WhatsApp guest communication — the small hotel hack
WhatsApp is the dominant communication channel for Indian travelers in 2026. Open rates are 95%-plus versus 18-22% for email. Every small hotel should run pre-arrival, in-stay, and review-request flows on WhatsApp.
The challenge is cost. Traditional WhatsApp Business API providers charge ₹2,500-₹5,000/month minimum subscription plus per-message rates. For a small hotel sending 800-1,500 messages/month, that is a brutal overhead.
PayPerWA is the option I usually recommend for low-volume properties — ₹0 monthly subscription plus ₹0.20 per utility message and ₹0.65 per marketing message. A 12-room property sending 1,200 messages/month pays around ₹250-₹400/month total. It uses the official Meta WhatsApp Business API, so it is fully compliant.
Pair it with your PMS via webhook (most modern PMS have native or Zapier integration) and you have:
- Booking confirmation WhatsApp (auto-sent on PMS booking)
- 24-hour pre-arrival WhatsApp (check-in details, location pin, parking)
- Checkout WhatsApp with bill summary
- Review request 6 hours after checkout
- Birthday plus anniversary WhatsApp for repeat guests
That single flow lifts repeat bookings by 18-25% based on what I have seen across clients.
The homestay + Airbnb hybrid reality
A growing share of "small hotels" in India are technically homestays — owner-operated, listed primarily on Airbnb, with some direct WhatsApp bookings. The PMS needs are different:
- Airbnb Hub integration is mandatory, not optional
- Self-check-in flow with smart-lock or keybox codes generated automatically
- iCal sync with Google Calendar for the owner's personal view
- Automated message templates in the local language plus English
- Lightweight invoicing — most guests do not want a formal GST invoice
Cloudbeds, RoomRaccoon, and Little Hotelier handle this well. Native Indian PMS (eZee, Djubo, Hotelogix) treat Airbnb as a secondary channel — works, but the workflow is clunkier.
For a 4-8 unit homestay grouped under one owner, BedBooking plus a custom Notion CRM plus PayPerWA WhatsApp is often the cheapest viable stack — under ₹2,500/month total.
Case study — 12-room hill station boutique stay (Coorg)
Anonymized but real. Owner came to me running:
- One Excel sheet for bookings
- Three OTA extranets (MMT, Booking.com, Agoda) updated manually
- A WhatsApp Business app (free version) for guest communication
- Double bookings 2-3 times/month
- 12 hours/week of owner time on rate updates
We moved them to eZee Absolute Lite plus eZee Reservation booking engine plus PayPerWA for WhatsApp:
- Total PMS cost: ₹3,800/month (channel manager + booking engine + 2 user logins)
- WhatsApp cost: roughly ₹320/month average
- Setup time: 8 days including OTA reconnection and training
Results after 6 months:
- Zero double bookings
- Direct bookings rose from 8% to 31% of total
- Owner time on rate management dropped from 12 hours/week to under 2 hours/week
- Repeat guest rate (defined as second visit within 18 months) rose from 6% to 19%
- Net revenue uplift of approximately ₹2.4 lakh in the first 6 months versus prior comparable period
Total software spend over 6 months: roughly ₹25,000. ROI was clear by month 2.
Case study — Heritage haveli in Rajasthan (16 rooms)
Different profile. ₹14,500 average ADR. International inbound heavy. Bespoke check-in ritual including welcome drink, key handover ceremony, and a hand-written room card. F+B billing was complex (mixed tax slabs for the courtyard restaurant, the rooftop, and in-room dining).
Generic PMS tested and rejected:
- Hotelogix — F+B workflow too rigid for the three-venue setup
- eZee Absolute — channel manager worked but front office screens did not fit the ritual
- Cloudbeds — international OTA support was strong but Indian travel-agent workflow was missing
We built custom on Profile A architecture. Total project: ₹4.2 lakh one-time plus ₹6,500/month hosting plus support. Built in 11 weeks. Key custom modules:
- Three-venue F+B with separate tax + ITC logic
- Travel-agent commission tracking (for Indian inbound agents who push 30% of business)
- Bespoke front-office check-in flow matching their ritual
- Heritage guest history with preference tags (e.g., "prefers north-facing room", "anniversary stay")
- Multi-currency receipt printing for international guests (display only, billed in INR)
Outcome 14 months in: owner says it is the first piece of software in 20 years of hospitality that he actually likes. Direct bookings up from 22% to 41%. Repeat guest rate from 11% to 28%.
Custom is not for everyone. But when the use case is genuinely unique, off-the-shelf is more expensive than it looks because of the workflow tax.
When to outgrow small-hotel software
You have hit the ceiling on a small-hotel PMS when:
- You cross 50 rooms and the system slows down on the calendar view
- You add a third property and multi-property reporting becomes a daily pain
- You need real revenue management with competitive set tracking
- F+B operations cross 3 outlets or 100 covers/day
- You hire a dedicated revenue manager who wants enterprise reports
- You start doing serious MICE (conferences, weddings) and need a banquet module
- Your direct booking volume crosses 200 transactions/month and you need a real CRM
Migration is painful — budget 2-3 months for it and pick the new PMS twice as carefully as the first one.
Codingclave's offering for small + boutique hotels
We build custom hotel PMS on what we call Profile A — a hospitality-specific architecture that ships in 8-12 weeks. For small and boutique properties the typical engagement is:
- ₹2,00,000-₹6,00,000 one-time build
- Includes PMS, channel manager bridge, direct booking engine, WhatsApp integration via PayPerWA, GST-compliant billing
- ₹3,000-₹8,000/month for hosting, support, and quarterly feature releases
- 8-12 weeks from kickoff to live property
When does custom make sense?
- Heritage or boutique property with workflows generic PMS cannot fit
- 2-5 property small chain wanting one unified system
- Already at ₹6,000-plus monthly PMS spend with frustration
When does it not?
- Solo property under 20 rooms with standard workflows — buy off-the-shelf
- Owner wants something running in under 30 days — buy off-the-shelf
- Under ₹4,000 ADR and tight unit economics — buy off-the-shelf
Honest is honest.
WhatsApp me on +91-7800-90-2003 for a 15-minute call. Tell me your room count, your OTAs, and your current pain. I will tell you in that one call whether you need custom or whether off-the-shelf works for you.
Final picks by property profile
- Under 10 rooms, owner-operated: BedBooking + PayPerWA. Under ₹2,000/month total.
- 10-25 room boutique stay, standard workflows: eZee Absolute Lite + eZee Reservation + PayPerWA. Around ₹4,000/month.
- 15-30 room revenue-focused property: Djubo Express + WhatsApp via Djubo native integration. Around ₹3,500-₹5,500/month.
- 2-5 property small chain: Hotelogix Lite multi-property dashboard. ₹8,000-₹15,000/month total.
- Boutique resort with hybrid Airbnb listings: Cloudbeds or RoomRaccoon. ₹5,500-₹9,000/month.
- B+B specialist: Little Hotelier. ₹4,000-₹6,500/month.
- Heritage premium with bespoke workflows: RMS Cloud, or go custom with Codingclave. ₹10,000-₹35,000/month or ₹2-6L one-time.
Pick by profile, not by feature count. Most small hotels overspend because they buy what big hotels buy.
