Hotel software list: what Indian hotels actually run

Most Indian hotels run 3–5 tools with a property management system (PMS) at the centre, plus a channel manager for OTAs, a booking engine, a restaurant POS if you serve food, and TallyPrime or Zoho Books for your CA. Below are 30+ product names across 10 types, each tagged with the property it suits.

How the pieces connect around your PMS

The PMS is the master register. The channel manager syncs it with MakeMyTrip, Goibibo, Booking.com and Agoda; the booking engine drops website bookings into it; the POS posts restaurant bills to the guest's room; the lock encoder takes the room and checkout time from it; and Tally or Zoho Books receives its invoices.   • Folio: the guest's running bill for the stay.
  • Night audit: the end-of-day close that posts room charges and balances the day's money.
  • CP / MAP / AP: breakfast only / breakfast plus one meal / all meals.
  • Extranet: the OTA's back-office website for editing rooms and rates.

1. Property management system (PMS): the core

  • eZee Absolute: eZee's cloud PMS, marketed heavily in India. Not to be confused with eZee Centrix (its channel manager) or eZee Reservation (its booking engine).
  • Hotelogix: cloud PMS for front desk, bookings and reporting, in business since 2008.
  • IDS Next: Bengaluru-based; sells FortuneNext PMS and FX Front Office plus POS, housekeeping, finance, spa, banquet and central-reservation modules. IDS Next says it serves 220+ hotel chains.
  • Oracle OPERA Cloud: enterprise PMS for larger hotels and chains.
  • DJUBO: a suite covering operations, distribution and pricing; says 2,500+ hotels in 19 countries use it.
  • mycloud Hospitality: cloud PMS with channel manager, web booking and POS, and a 30-day free trial.
  • Cloudbeds: global PMS with a built-in channel manager.
  • MyHotelLine: Indian cloud software with PMS, channel manager, booking engine and revenue tools.

What 5-star and chain hotels use

Branded and franchised hotels usually run the PMS their brand mandates, typically an enterprise system with central reservations such as OPERA Cloud or IDS Next with FX CRS. Independents choose freely.

Cloud, self-hosted or free open-source

Cloud means a monthly or yearly fee and vendor-managed updates. A self-hosted licence is paid once and runs on your own server, so you own the data and the upkeep. QloApps by Webkul calls itself a free, open-source hotel management system with PMS, booking engine and channel manager parts. Hosting, setup and support are on you, and some features are add-ons, so check which are paid.

How hotel software pricing works in India

  • Per room per month: grows with every room. Illustration only, at a hypothetical ₹100 per room: 20 rooms cost ₹2,000 a month, 40 rooms ₹4,000.
  • Flat per property: the same fee for 12 rooms or 60, so it favours bigger properties.
  • One-time licence: a larger payment upfront, with hosting and support paid separately.

The self-hosted licence includes free installation, onboarding and 3 months of support; after that, an optional updates-and-support plan starts from ₹22,000 a year. The break-even above excludes that plan and your server costs, so get both in writing before you compare. 2. Channel manager: stop double bookings on OTAs

  • STAAH: standalone channel manager. Its channel manager page and India landing page list Booking.com, Expedia, Goibibo and Agoda among its connections. Suits: independents whose PMS lacks a good built-in one.
  • SiteMinder: global standalone channel manager with a published eZee PMS integration. Suits: hotels selling to many international OTAs.
  • eZee Centrix: eZee's channel manager. Suits: eZee Absolute users.
  • AxisRooms: distribution software for hotels, homestays, rentals and chains; self-reports 10,000+ hotels. Suits: homestays through to chains.
  • DJUBO: distribution inside its suite. Suits: hotels wanting PMS, distribution and pricing from one vendor.

Will it stop double bookings? Yes, if the sync is two-way. The fault we're most often asked to fix is a wrong mapping, such as a "Deluxe" room type linked to two OTA room codes, so a sale on one OTA never reduced the other. The other cause is staff editing availability in an OTA extranet, so once connected, manage inventory only from the PMS or channel manager.

Ask whether it is an approved connectivity partner of each OTA you use, and whether MakeMyTrip and Goibibo need separate mapping. A PMS with a built-in two-way channel manager (DJUBO, mycloud, MyHotelLine, ours) may make a separate one unnecessary. For commission maths, read our hotel channel manager guide for India.

3. Booking engines for direct bookings

  • Simplotel: hotel website plus booking engine. Suits: hotels wanting a new website too.
  • Bookingjini: Indian booking-engine and channel-manager vendor (category from a third-party list; confirm on its site). Suits: budget and mid-size hotels.
  • eZee Reservation: eZee's booking engine. Some lists call it a PMS or channel manager; it's neither. Suits: eZee Absolute users.
  • Aiosell: website and booking engine in a pricing-led suite; self-reports 2,500+ properties in 70+ countries. Suits: hotels also wanting dynamic pricing.

Many PMS, ours included, ship their own engine. Whichever you use, check it takes UPI, keeps mobile checkout short and drops bookings straight into the PMS.

4. Revenue management and rate shopping

  • DJUBO: dynamic revenue and price management plus a Competitor Rate Shopper. Suits: mid-size city hotels.
  • Aiosell: built around dynamic-pricing AI, with a rate shopper. Suits: independents without a revenue manager.
  • AxisRooms Revenue Management as a Service: a managed service. Suits: owners who want someone else to set rates.
  • Stayflexi: AI agents that automate pricing. Suits: hotels willing to trial automation.

Skip it if you're a walk-in lodge, a fixed-tariff dharamshala, or an owner who already adjusts weekend and festival rates. It pays off for event-driven city hotels, seasonal resorts and chains.

5. Restaurant and F&B POS

  • Petpooja: POS widely used by Indian restaurants. Suits: hotel restaurants with many outside diners.
  • Restroworks: restaurant platform. Suits: multi-outlet F&B.
  • IDS Next FX POS, FX POS Ultra and FX Kitchen Display System: built for hotel outlets. Suits: IDS Next users.
  • Saffron POS (ours): ₹24,999 one-time or ₹2,499/month; no public demo page, so we show it on request. Suits: a single hotel restaurant or bar.

A PMS POS module may do for in-house guests and room service; outside diners, delivery, a bar or several outlets need a dedicated POS. Either way, restaurant bills must post to the guest's folio. We explain the split in restaurant POS vs PMS for hotels.

6. Housekeeping and maintenance

Housekeeping is usually a PMS module: a room-status board, cleaning assignments, maintenance tickets and lost-and-found. IDS Next sells FX HouseKeeping, our HMS includes it, and most cloud PMS have a version. A standalone app is worth it when a resort's rooms are spread across a large site or a chain wants the same SOPs everywhere. For a 20-room hotel, the PMS room-status screen on the supervisor's phone is enough.

7. Guest messaging, WhatsApp and reviews

  • PayPerWA (ours): pay-per-message WhatsApp on Meta's official Cloud API, no monthly fee: ₹0.20 per message plus Meta's charge, about ₹1.06 per marketing message all-in. Suits: small hotels that message in bursts.
  • AiSensy, Gallabox, WATI and Gupshup: WhatsApp Business API platforms sold to Indian businesses, usually on subscription; check current plans on their sites. Suits: hotels wanting a shared inbox and chatbot.
  • Aiosell: includes reputation management for reviews. Suits: hotels on its suite.

Booking confirmations are cheaper utility messages; a festive offer is a pricier marketing message. Message only opted-in guests. To compare providers, see the cheapest WhatsApp API providers in India.

8. GST billing and accounting: PMS plus Tally or Zoho Books

GST invoicing is the PMS's job: your GSTIN, the company's GSTIN for corporate stays, correct SAC codes and separate lines for room, food and extras. Your books sit in TallyPrime or Zoho Books (India edition). Ask for these in the demo and show them to your CA:

  • A sample GST invoice for a corporate guest
  • The Tally or Zoho export: direct sync or Excel/XML file, and how ledgers map
  • Credit notes, and e-invoicing if your CA says it applies
  • Tax rates you can edit yourself. Room GST was last revised on 22 September 2025: 5% without input tax credit up to ₹7,500 per room per night, 18% above, per the 56th GST Council FAQs. Our hotel software demo test script includes a worked invoice check; confirm your own position with your CA.
  • A day-end report whose cash, UPI and card totals match the night audit

9. Door locks and key cards: what to ask

We verified one lock brand. Godrej sells the Omega hotel lock (RFID, MIFARE 13.56 MHz) and the Catus range. For other RFID brands from local dealers, these questions matter more than the brand.

A PMS-lock interface lets the PMS write the key card at check-in with the room and checkout time; without one, staff re-enter details in the lock software. Ask:

  1. Which PMS has this lock already been interfaced with in India?
  2. Which card type does it use, and where do replacement cards come from?
  3. Does the encoder work when the internet is down?
  4. Can you pull an audit trail of who opened which room?

Choose your PMS before you buy locks, not the other way round.

10. Lodge management system and dharamshala software

What a lodge actually needs

  • Fast walk-in check-in with ID capture. Ask whether Aadhaar copies are stored masked, who can view them, when they are deleted, and how the vendor supports your duties under the DPDP Act.
  • A guest-register export in the format your local police station asks for, and Form C handling if you host foreign guests
  • Advances, hourly stays, cash and UPI receipts, and an owner view on mobile
  • A Hindi or regional-language screen if desk staff need it, plus phone support and a training session

Lodge software names that fit small properties

  • Mini Hotel Man: built for small properties. Suits: lodges wanting a simple desk screen.
  • Booking Master: Indian hotel booking and management software. Suits: small hotels wanting a local vendor.
  • eZee Absolute (entry setup): scales as you grow. Suits: lodges adding OTAs.
  • QloApps: free and open source. Suits: trusts or lodges with a technical person to host it.
  • Codingclave HMS (ours): cloud or self-hosted. Suits: owners wanting a one-time licence and their own data.

Test each with your least technical staff member: one short session should get them checking in walk-ins unaided.

Dharamshala and trust guest houses

Trusts often have donation-style tariffs, allotment rules (maximum days per stay, member and non-member rates) and receipts in their own format. Ask whether the software issues donation receipts separately from room charges, and confirm the tax treatment with your CA. Off-the-shelf fits fixed tariffs; customise for allotment rules or trustee reports. Trusts wanting to hold their own data can adapt our source-code edition of the hotel management software.

What happens when the internet goes down

A cloud PMS needs internet, so keep a 4G hotspot as backup; OTA bookings wait until sync reconnects. A self-hosted PMS on a local server keeps the desk working over the property's own network, and OTA sync catches up when the line returns. Either runs in a phone browser for the owner.

The costliest mistake I see is buying for the chain you might become: a 25-room hotel on an enterprise suite pays for modules nobody uses.

Questions to ask any vendor before you shortlist

  1. Is OTA sync live and two-way for every OTA you use?
  2. Can you export all guests, bookings and folios if you leave?
  3. Is pricing per room, flat or one-time, and what costs extra after year one?
  4. Can the demo run on your room types and a real day's bookings?

Moving from a register or Excel: what to prepare in week one

  • Room types, rate plans, meal plans, and seasonal and festival tariffs
  • Every future booking, including cash advances
  • Corporate clients' GSTINs and OTA extranet logins
  • Staff roles: who can give discounts, void bills or change rates

The go-live mistake we see most is switching with future bookings half-entered, so a guest arrives on the first busy weekend holding an advance receipt the system has never seen. Go live on a quiet weekday and keep the register in parallel for a few days.

No single product runs every hotel. Most properties use several tools with a property management system (PMS) at the centre. Common PMS names in India include eZee Absolute, Hotelogix, IDS Next FortuneNext, Oracle OPERA Cloud, DJUBO and mycloud Hospitality. Around the PMS you usually find a channel manager such as STAAH, SiteMinder, eZee Centrix or AxisRooms, a booking engine such as Simplotel, a restaurant POS such as Petpooja, and TallyPrime or Zoho Books for the accounts. A small lodge can often manage with one PMS that has billing and OTA sync built in.

Pick a simple PMS that handles walk-in check-in with ID capture, advances, cash and UPI receipts, simple bills and an owner view on mobile. Names worth a demo include Mini Hotel Man, Booking Master, entry setups of eZee Absolute, the free open-source QloApps (if you have technical help) and Codingclave HMS, which is ours. Trusts with donation-style tariffs or allotment rules should test those exact rules in the demo and ask whether donation receipts can be issued separately from room charges. Confirm the tax treatment of donations with your CA.

The PMS runs the property: reservations, check-in, room status, guest bills, GST invoices and the night audit. A channel manager pushes your rates and availability to OTAs like MakeMyTrip, Goibibo, Booking.com and Agoda and pulls their bookings back into the PMS. That two-way sync is what prevents double bookings. A booking engine is the 'Book Now' checkout on your own website, which takes commission-free direct bookings. Many products bundle two or all three. A 12-room lodge usually needs one product that does all three, while chains often buy them separately.

It depends on the pricing model: a fee per room per month, a flat fee per property per month, or a one-time licence. Per-room pricing grows with every room you add, while flat and one-time pricing do not. Competitor prices change often, so confirm them on each vendor's site. Budget separately for any channel manager, POS or messaging tool your PMS does not include.

These are typically enterprise systems with central reservations and group reporting, such as Oracle OPERA Cloud or IDS Next with its FX CRS central reservation module. IDS Next says on its own site that it serves 220+ hotel chains. Independent 5-star and luxury properties choose freely and often add a separate channel manager, revenue management tool, F&B POS for each outlet and a key-card lock system interfaced with the PMS.

Most Indian PMS products generate GST invoices showing your GSTIN, the company's GSTIN for corporate stays and separate tax lines for rooms, food and extras. Tally support varies more. Some products sync directly with TallyPrime, while others only give an Excel or XML export that your accountant imports. Before you buy, ask for a sample corporate GST invoice and one month's export, and show both to your CA. Also check that you can edit tax rates yourself, because GST slabs on room tariffs have been revised before.
