Prices below are list prices I checked on 4 October 2026 from each vendor's pricing page or its Capterra, itqlick or costbench listing. Where a vendor quotes only in US dollars I show the dollar figure and a rupee conversion at ₹85 to the dollar, rounded. Vendors change prices often, so treat the rupee figures as a budgeting guide and confirm on the vendor's site before you sign.

Software used in the hotel industry in India (by department)

Searchers asking "software used in hotel industry in India" usually want to know which tool each department runs, not a ranking. This is what I see inside Indian hotels in 2026.

A 12-room hotel usually runs one PMS that covers the first six rows (we rank those single-product options separately in our best hotel software for small and boutique hotels in India guide). A 100-room hotel with a restaurant and banquet hall typically runs four or five separate products connected by integrations, which is where most implementation time goes.

Best PMS software in India: my pick by hotel size

• Homestays and guesthouses, 5 to 20 rooms: Stayflexi or eZee Absolute. Cheapest to start, 1 to 2 weeks to go live.
• Budget hotels, 20 to 50 rooms: Hotelogix or Codingclave Cloud. Hotelogix has the deeper OTA list; Codingclave is flat ₹2,500 a month regardless of room count.
• Mid-range hotels, 50 to 100 rooms: Codingclave Hotel PMS (one-time licence pays back inside a year against per-room pricing) or Djubo if direct bookings are your priority.
• Luxury and boutique: Clock PMS+ for guest-app features, or Codingclave when you want the guest journey built around your brand.
• Chains, 100+ rooms across properties: IDS Next FortuneNEXT, or our multi-tenant hotel software if you want to own the platform.

Cloud hotel PMS India: which of the 10 are cloud, and what cloud really costs

Nine of the ten names are cloud hosted. Only IDS Next still sells on-premise alongside cloud, and only Codingclave offers a self-hosted licence where the code runs on your own server. For a cloud hotel PMS in India the cost driver is the pricing model, not the brand:

• Per room per month: Hotelogix (US$3.99), mycloud (US$8 to US$16), Stayflexi (US$2). A 40-room hotel on mycloud Standard pays about US$480, roughly ₹40,000 a month.
• Flat per property per month: Codingclave (₹2,500), eZee Absolute (tiered by room band), Djubo (tiered by room band), RoomRaccoon (tiered). Cost stays level as you add rooms within the band.
• Revenue based: Clock PMS+ prices on room count and annual net revenue, so two hotels of the same size pay different amounts.

This is our product, so weigh my view accordingly. We built it after seeing hotels pay per room for features they never opened. Every plan includes reservations, front desk, housekeeping, OTA channel manager, restaurant POS and GST billing with e-invoicing. The one-time licence hands you the source code, so a 60-room hotel paying ₹15,000 a month elsewhere breaks even in about seven months.

Pros:

• Flat price, no per-room or per-booking fee

2. Hotelogix

Best for: Small to mid-size hotels wanting a proven cloud PMS with a deep OTA list

• Pricing: US$3.99 per room per month (about ₹340) with minimum billing, or US$0.20 per occupied room night; US$350 setup fee that covers training and booking-engine integration (Hotelogix pricing page, checked October 2026). Packaged plans run US$79.90 to US$179.90 a month.
• Deployment: Cloud

Hotelogix is an Indian cloud PMS used in 100-plus countries. GST billing is native and the OTA integrations cover the Indian majors plus the global ones.

Pros:

• Mature product with a large Indian install base
• Channel manager for 100+ OTAs included in higher plans
• GST-compliant billing built in
• Mobile app for owners and managers

Cons:

• Per-room pricing gets expensive past 40 rooms
• US$350 setup fee on top of the subscription
• Interface looks dated against Djubo or Clock
• Customisation is limited to configuration

3. eZee Absolute

Best for: Budget hotels and small chains that want to add modules as they grow

eZee, owned by Yanolja, is the most common PMS name I hear from Indian budget hotels. The suite splits into eZee Absolute (PMS), eZee Centrix (channel manager) and eZee BurrP (restaurant POS).

Pros:

• Cheapest entry price of the full-suite vendors
• Strong OTA support through Centrix
• Indian support team
• Regular feature updates

Cons:

• Three products means three interfaces and three invoices
• The all-in bundle costs over three times the entry plan
• UI feels dated in places
• Advanced analytics need premium plans

4. IDS Next FortuneNEXT

Best for: Large hotel chains and five-star properties

• Pricing: Custom quote only
• Deployment: Cloud and on-premise

IDS Next, founded in 1987 in Bangalore, serves over 6,000 properties in more than 45 countries, including Best Western's India hotels and the Sarovar and Fortune groups. FortuneNEXT is a 13-module hotel ERP rather than a PMS: central reservations, banquets, spa, loyalty and materials management are all inside.

Pros:

• Built for large Indian hotel operations
• Handles complex multi-property chains
• Strongest banquet and event management on this list
• PCI PA-DSS and GDPR compliant

Cons:

• Not priced for properties under 100 rooms
• Implementation runs months, not weeks
• Long contract commitments
• Customisation needs an enterprise agreement

5. Djubo

Best for: Independent hotels that want more direct bookings

• Pricing: From US$46 a month (about ₹3,900), tiered from 1 to 3 rooms up to 100+ rooms, per Capterra's 2026 listing. Modular, so you pay for the pieces you pick.
• Deployment: Cloud

Djubo, based in Noida since 2014, runs 2,500-plus hotels in 19 countries. Its channel manager syncs 130-plus OTAs and the booking engine connects to Google Hotel Ads, which is why I rank it first for direct-booking growth.

Pros:

• Best Google Hotel Ads integration of the Indian vendors
• Modern, clean interface
• Modular pricing suits lean operations
• Indian company with local support

Cons:

• Housekeeping and operations modules are lighter than Hotelogix or Codingclave
• Restaurant POS not included
• Not built for 200-room properties

6. Stayflexi

Best for: Budget and transit hotels that sell hourly or flexible stays

• Pricing: From US$40 a month (about ₹3,400) or US$2 per room, with a free tier and free trial, per Capterra's Flex PMS listing (4.7 out of 5 from 163 reviews).
• Deployment: Cloud

Stayflexi's angle is flexible check-in and check-out plus hourly bookings, which makes it the default choice for hotels near stations and airports.

Pros:

• Among the cheapest cloud PMS for small properties
• Hourly booking is unique on this list
• Self-service check-in cuts front-desk load
• Highly rated support

Cons:

• Limited features for full-service hotels
• Housekeeping and banquet modules are basic
• Smaller installed base than eZee or Hotelogix

7. mycloud Hospitality

mycloud comes from Prologic First, founded in 1998 and now headquartered in London with a long Indian history. The suite is complete, but per-room pricing makes it one of the pricier options here once you pass 25 rooms.

Pros:

• Complete suite: PMS, POS, channel manager
• Good understanding of Indian GST and F&B workflows
• Reliable uptime

Cons:

• Per-room pricing adds up quickly (40 rooms on Standard is about ₹40,000 a month)
• Mobile app features are limited
• Support response times vary

8. AxisRooms

Best for: Hotels whose main problem is OTA distribution

• Pricing: Channel manager from US$50 a month for 1 to 10 rooms, US$80 for 11 to 30 rooms, US$120 for 71 to 100 rooms and US$270 for 200-plus rooms (AxisRooms pricing, October 2026). PMS and booking engine are add-ons.
• Deployment: Cloud

AxisRooms has run since 2011 and connects to 100-plus OTAs with native Airbnb integration. The PMS layer exists but I would pair AxisRooms with a dedicated PMS rather than rely on it alone. Our channel manager comparison covers it in detail.

• One of the best channel managers in India
• Rate shopper included for competitor pricing
• Transparent room-band pricing
• Strong Indian support

Cons:

• PMS features are basic
• Housekeeping and operations modules are thin
• GST billing is partial, you still need a billing system

9. RoomRaccoon

Best for: Boutique hotels and B&Bs that want automation over customisation

• Pricing: Entry from about US$207 a month (about ₹17,600), rising to around US$620 for the Pro tier, per PricingSaaS and costbench 2026 listings. Quotes depend on room count.
• Deployment: Cloud

RoomRaccoon is a European product with automated yield management, upselling and guest messaging built in. It is excellent software, but at Indian room rates the entry price is hard to justify under 30 rooms.

Pros:

• Automated revenue management included
• Clean, modern interface
• Guest communication automation saves front-desk time

Cons:

• Expensive for Indian budget hotels
• Indian support and OTA coverage still maturing
• GST features are basic
• No restaurant POS

Best for: Tech-forward luxury and boutique hotels

Is a cloud PMS safe for hotel guest data?

Yes, if the vendor encrypts data, backs up daily and lets you export. Under India's Digital Personal Data Protection Act you remain responsible for guest ID copies, so ask about server location and ID retention. A self-hosted licence keeps the data on your own server if that matters to you.

What changed in hotel software between 2024 and 2026

If your last evaluation was more than 18 months ago, these are the changes that matter.

1. WhatsApp is now the default guest channel

Booking confirmation, check-in links, room-ready alerts, in-stay upsells and review requests go out on WhatsApp through WATI, Interakt or our own PayPerWA (₹0.20 a message platform fee on the Meta Cloud API, no subscription). WhatsApp open rates run above 90% against roughly 25% for email.

2. Dynamic pricing moved into the base plan

RoomRaccoon, Clock and Djubo now ship rate automation as standard rather than as a premium module. Expect an 8 to 15% RevPAR lift inside six months if you let the rules run.

3. GST slabs changed on 22 September 2025

The 12% slab for rooms between ₹1,001 and ₹7,500 is gone. Rooms up to ₹7,500 a night are 5% without input tax credit and rooms above ₹7,500 are 18% with credit. The declared tariff concept was withdrawn from 1 April 2025, so the rate follows the amount actually charged. Make sure your PMS applies the slab per night, per unit, on the transaction value.

4. UPI and saved-card no-show charges on the booking engine

Razorpay and PayU on the booking engine take UPI and cards for direct bookings and let the PMS charge no-show fees to a saved card, which typically cuts no-show revenue leakage by 15 to 25%.

5. AI concierge on the PMS

OpenAI or Claude layered on the PMS answers room-service, local-recommendation and late-checkout requests in Hindi and English around the clock, and cuts front-desk queries by 30 to 50%.

6. Channel managers sync 12-plus OTAs in real time

MakeMyTrip, Booking.com, Agoda, Airbnb, Goibibo, Cleartrip, Yatra, Trivago, Ctrip and Expedia sync both ways, which ends overbooking and saves 4 to 6 hours a day of manual rate updates.

7. QR check-in stayed after COVID

Guests scan a QR in the lobby, complete digital check-in and receive the room number and a mobile key. Budget hotels report 30 to 40% less front-desk staffing.

8. e-Invoicing for hotels over ₹5 crore

Hotels with turnover above ₹5 crore must generate e-invoices through the GST IRP (threshold in force since 1 August 2023). A current PMS generates the IRN and prints the QR on the invoice automatically.

What does a PMS cost for a 50-room hotel in India? Per-room SaaS (Hotelogix, mycloud): about ₹17,000 to ₹50,000 a month. Flat SaaS (Codingclave): ₹2,500 a month or ₹22,000 a year. One-time licence: ₹1,00,000. Custom build: ₹4 to 12 lakh plus ₹15,000 to ₹30,000 a month maintenance. Hardware: ₹50,000 to ₹2 lakh.

Cloud or on-premise? Under 100 rooms, cloud. For 200-plus rooms or chains with strict IT policies, a hybrid: cloud for OTA sync and a local billing fallback for connectivity outages. The cloud vs on-premise guide has the five-year numbers.

Can a PMS handle multi-property chains? Yes. Hotelogix, Djubo, IDS Next and our multi-tenant edition support a central booking engine, consolidated reporting and role-based access per property. We have built multi-property systems for groups with 25-plus properties.
