Hotel management software demo: how to test one properly
A hotel management software demo is only useful if you drive it. Take the mouse yourself, or use a self-serve live demo. Run your own scenarios: the last room selling on two OTAs, a split folio, night audit and a GST invoice. Score each step pass, partial or fail.

Quick answer:
- 15 tests, 100 points. Overbooking, night audit and GST invoices carry 10 points each. Score 80 or more and you have a strong fit.
- GST changes at ₹7,500 per room per night: 5% without ITC up to that value, 18% above it (since 22 September 2025).
- Free trials often run 14 to 15 days (Hotelogix offers 15), which is enough if you plan each day.

Hotel software demo vs free trial vs sandbox: which should you ask for?
Vendors use "demo" for four different things:

Real examples: Hotelogix offers a 15-day free trial plus a demo request. eZee Absolute has advertised a 14-day trial, but its trial page now leads with a "talk to us" demo, so confirm current terms. HotelDruid, a free open-source PMS, has a public online demo.
Last verified: September 2026. Trial terms change, so confirm on each vendor's site.
Use guided demos to cut a long list to two or three, then insist on hands-on time before you sign. A vendor offering no hands-on format is telling you something. For more names, see our list of hotel software in India.
Is a 14 or 15-day trial long enough?
Yes, if you plan it:
- Days 1–2: load room types, rate plans, taxes and five real bookings.
- Days 3–5: front desk and housekeeping run steps 1 to 8 themselves.
- Days 6–9: channel tests (steps 2 and 9), plus a night audit every night.
- Days 10–12: send sample GST invoices to your CA; check reports against last month.
- Days 13–14: raise a support ticket after 9 pm, cut the internet for ten minutes, export your data, then score.
No real OTA connected by day 10? Ask for an extension or a guided overbooking test.
Before the demo: 20 minutes of prep
- Room types and rate plans, ideally one rate on each side of ₹7,500 (say, Deluxe at ₹4,500 and a Suite at ₹7,800) so the GST test is real.
- Five real reservations from last month: an OTA booking, a group, a company booking with a GSTIN, a foreign guest and a walk-in. Remove guest names.
- Last month's numbers: occupancy, average rate, room revenue and GST collected, to check the reports in step 13.
- The right people: your front-desk lead and head of housekeeping.
- Your three worst problems, such as festive-weekend overbookings or unpaid restaurant bills at checkout.
For a guided demo, block about 90 minutes and send the agenda in advance: your three worst problems first, then steps 2, 11 and 12, then the rest.
In the hotel builds we've done, the most common demo miss is the owner evaluating alone. Your front-desk and housekeeping leads use these screens all shift, so they spot slow ones first.
The 15-step hotel PMS demo test script
Each step has a task, a pass and a red flag. If the vendor drives, ask for each step live on a fresh booking.
1. Create a direct booking with an advance payment
- Do: Book a Deluxe room for two nights from a phone enquiry and take a ₹2,000 UPI advance. Then book the same room type through the hotel's website booking engine.
- Pass: Availability drops at once for both, and the advance shows on the folio with a receipt.
- Red flag: The advance never reduces the folio balance, or website bookings arrive by email for re-typing.
2. OTA booking and the overbooking stress test
- Do: Leave one room of a type unsold and book it on two OTAs at nearly the same moment. In a guided demo, ask the vendor to simulate it.
- Pass: The first booking closes that room type everywhere within minutes (time it). The second is blocked or raised as an overbooking alert with a relocation option.
- Partial: Shown only in a guided session on a test OTA link, but the alert and relocation flow are real.
- Red flag: Sync shown only as a wall of OTA logos, or the second booking landing silently.
3. Group booking: three rooms, one master folio
- Do: A wedding party books three rooms for two nights. The host pays rooms; guests pay their extras.
- Pass: One group reservation, room charges routed to a master folio, extras on each room.
- Red flag: Three unrelated bookings, reconciled by hand.
4. Walk-in check-in with guest ID capture
- Do: Check in a walk-in with a photo of their ID, then a foreign guest.
- Pass: The ID is stored on the guest profile and returning guests pre-fill. For the foreign guest, ask how the PMS supports your Form C reporting.
- Red flag: "Keep photocopies in the register," or IDs any login can download.
5. Room move mid-stay
- Do: Move the step 1 guest to a Suite after night one because the AC failed.
- Pass: Night one stays at the Deluxe rate, night two takes the rate you choose, and the old room flips to dirty or out-of-order.
- Red flag: You must cancel and rebook, losing the advance and stay history.
6. Split folio: company pays room, guest pays extras
- Do: A company pays room plus GST; the guest pays laundry and minibar.
- Pass: Two invoices from one stay, room on the company's GSTIN and extras to the guest, settled separately.
- Red flag: "Export the PDF and edit it."
7. Restaurant charge-to-room
- Do: Post a restaurant dinner bill to the guest's room.
- Pass: The charge lands on the folio instantly with the bill reference, and the POS refuses rooms not checked in. Ask your CA which GST rate applies to your in-house restaurant bills and check the POS applies it.
- Red flag: Charges re-typed at checkout, imported next morning, or accepted after the guest has left.
8. Housekeeping status loop: dirty → clean → inspected, from a phone
- Do: Check a guest out. A housekeeper marks the room clean and a supervisor marks it inspected, each on their own phone.
- Pass: The room rack updates without a refresh, and only inspected rooms are offered for check-in.
- Red flag: Status changes only from the front-desk PC, so housekeeping keeps phoning down.
9. Change next weekend's rate and watch it reach the OTAs
- Do: Raise Saturday's Deluxe rate by ₹800 and close one room type for Sunday.
- Pass: One change updates every connected channel, a sync log shows timestamps, and you confirm it in the OTA extranet. Our hotel channel manager guide explains what two-way sync should cover.
- Red flag: Rates changed extranet by extranet, or a one-way "channel manager" that cannot pull bookings.
10. Cancellation, no-show and early checkout with refund
- Do: Cancel inside your policy window, mark a no-show, and check a three-night guest out after one night with a partial refund.
- Pass: Policy fees apply automatically, the refund links to the original payment, and inventory goes back on sale everywhere.
- Red flag: Refunds handled "outside the system," or cancelled rooms still blocked on OTAs.
11. Run night audit: what rolls over, what gets locked
- Do: Run night audit with guests in-house, one unpaid restaurant bill and one pending no-show.
- Pass: Room charges post, no-shows get flagged, the business date rolls and the closed day locks. Later corrections need a void or credit note with a reason.
- Partial: Audit runs and posts charges, but closed days can still be edited by a manager without a logged reason.
- Red flag: "Night audit" is just a report, or anyone can edit yesterday's paid invoice.
12. GST invoice test: ₹7,400 vs ₹7,800 room
This is not tax advice. Confirm how your rooms, packages and invoices should be taxed with your CA.
Per the PIB FAQs on the 56th GST Council, from 22 September 2025 hotel accommodation up to ₹7,500 per unit per day attracts 5% GST without input tax credit, and PIB's follow-up FAQs (see Sources) make that rate mandatory. Above ₹7,500 it stays 18%. The threshold follows the value actually charged per room per night, not star rating or rack rate.
Worked example, one night, tax shown as equal CGST and SGST halves:

- Do: Bill the three rooms above, a B2B stay with a company GSTIN, and a credit note for an overcharge. Then bill a package near ₹7,500, such as room plus breakfast (CP) or room plus meals (MAP), and an extra bed.
- Pass: Each night is taxed at its own rate, so a stay where only Saturday crosses ₹7,500 switches rate that night. B2B invoices carry the company's name and GSTIN, credit notes reference the original, and the GST summary separates 5% and 18% supplies. The PMS can show package components separately, the way your CA says they should be valued.
- Partial: Rates are right, but packages can only be billed as one lump line.
- Red flag: One tax rate fixed per room type, slabs from before 22 September 2025, or GST "corrected" by editing a finalised invoice.
13. Reports: match them against your own numbers
- Do: Pull occupancy, ADR, RevPAR, source of business and the GST summary.
- Pass: You can recalculate each figure. Illustration: 20 rooms × 30 nights = 600 room-nights; 420 sold for ₹12,60,000 gives 70% occupancy, ADR ₹3,000 and RevPAR ₹2,100. Reports export to Excel or CSV.
- Red flag: Numbers you cannot reconcile, or no export.
14. User roles and audit log
- Do: As front-desk staff, try to delete a paid invoice, give a 50% discount and open the revenue report.
- Pass: Blocked or manager-approved, with every override logged by user and time.
- Red flag: One shared admin login "for simplicity."
15. Mobile use on 4G
- Do: Leave the Wi-Fi, switch your phone to 4G, check in a guest and mark a room clean.
- Pass: Screens load in a few seconds and work with a thumb.
- Red flag: "Mobile app coming soon," or a desktop screen shrunk to phone size.

A fail scores 0. Copy the table into a spreadsheet, one score column per vendor.

How to read the total:
- 80 or more: strong fit. Negotiate.
- 60 to 79: workable only if each gap is one you accept or one the vendor commits in writing to fix before go-live.
- Under 60: move on.
- Knock-outs: a fail on step 11 or 12 drops the vendor. So does step 2, but only if the vendor won't show overbooking handling even in a guided session; a demo without a live OTA link is not a fail.
Adjust points to your property but keep the total at 100; a homestay with no restaurant can move step 7's points elsewhere.

9 red flags that mean you're watching a slideshow, not software
- The vendor won't hand over the mouse, or the "demo" is a recording.
- Every screen is pre-loaded; nothing is created in front of you.
- "That's on the roadmap" for anything in steps 2, 6, 11 or 12.
- OTA sync shown as a logo wall, with no live booking or sync log.
- Night audit skipped "for time."
- Invoices shown as ready-made PDFs, not generated live from a folio.
- Pricing revealed only after you commit.
- No straight answer on exporting your data if you leave.
- A free trial that cannot connect one real OTA or raise one real invoice.
After the demo: references, written promises and a parallel week
- Call two reference hotels of your size and region. Ask what broke in the first month.
- Get every promise in writing. "We'll add that before go-live" belongs in the order form with a date.
- Agree a go-live plan: import date, and who trains the front desk and the night auditor.
- Run a parallel week, comparing night audit totals with the old system each morning before switching it off.
Questions to ask the vendor after the demo
- Migration: Can you import our rooms, rates, guest history and future bookings? Who does it, at what cost, and how long to go-live?
- OTA connections: Which OTAs are two-way (rates, availability and bookings)? Do connections cost extra? Who is alerted when one fails?
- Internet outages: If the internet drops at 9 pm with arrivals due, can the desk still see arrivals, check guests in and print a bill?
- Support and training: Who answers when check-in breaks at 2 am? Is training included, and in which language?
- Updates: How often do updates ship, and are they included in the price? This matters most on a one-time licence.
- Integrations: Door locks, payment terminals and UPI QR, Tally or accounting export. Which exist today, and which are custom work?
- Contract exit: Any lock-in? How do we export all bookings, folios, invoices and guest data?
- Hosting: Where is our data hosted, how often is it backed up, and can we self-host?
- Pricing model: One-time licence or subscription, and what each includes. I've covered the trade-offs in hotel PMS subscription vs one-time licence; read it before you negotiate.

- Housekeeping: clean, dirty and inspected statuses, task assignment (step 8).
- Billing: folios, split billing, advance payments, GST invoicing, night audit (steps 6, 10, 11, 12).
- Restaurant POS charge-to-room (step 7) and revenue and occupancy reports (step 13).
Ask us to show live: guest ID capture, Form C support, a formal room move (our product lists room upgrades), the phone flow for staff, and roles with audit logs (listed for our multi-tenant edition). For any of these, book a guided demo and we'll run it on a fresh booking.
Who should not pick us: a property that needs a native staff app or ID scanning on day one, unless we have shown it working for you. If we can't show step 4, score it a fail.
Step 3: What it costs if it passes
Every plan includes every feature; only hosting and support differ. In India it is ₹1,00,000 one-time for a self-hosted licence, or Cloud SaaS at ₹2,500 a month or ₹22,000 a year. The one-time licence includes free installation, onboarding and 3 months of support, with optional updates and support from ₹22,000 a year. Outside India the same plans are $1,199 / $29 a month / $259 a year, £949 / £23 / £209, AED 4,399 / 109 / 959 and CAD 1,649 / 41 / 365. Details are on the hotel management software product page.

Yes. A few PMS vendors let you click through on your own. HotelDruid, a free open-source PMS, has a public online demo, and Hotelogix offers a 15-day free trial alongside its demo requests. Codingclave's hotel management software has a self-serve live demo at codingclave.com/demo/hotel-management-software, with login details shared on WhatsApp from that page. Disclosure: that one is ours. Whichever you try, run the same 15-step test script on each and score every step, so the comparison rests on what you did rather than what you were shown.
Fourteen to fifteen days is common and is enough if you plan it. Hotelogix offers 15 days, and eZee Absolute has advertised a 14-day trial (confirm current terms on its site). Load your rooms, rates and five real bookings on days 1 and 2, let staff run the front-desk and housekeeping tests on days 3 to 5, run channel tests with a nightly audit on days 6 to 9, check invoices and reports on days 10 to 12, and test support, outages and data export on days 13 and 14.
Not usually in a guided demo or a public demo, which run on the vendor's sample hotel. You can in a free trial or a private sandbox, where you set up your own room types, rate plans and taxes. Either way, bring five real reservations from last month (an OTA booking, a group, a company booking with a GSTIN, a foreign guest and a walk-in) with guest names removed, and ask for them to be entered live. How the software copes with your messy real cases tells you more than any sample data.
Since 22 September 2025, hotel accommodation with a value of supply up to ₹7,500 per unit per day attracts 5% GST without input tax credit, and hotels cannot opt for 18% with ITC on those rooms. Rooms above ₹7,500 per unit per day stay at 18%. To test a PMS, bill one night at ₹7,400 and one at ₹7,800: you should see ₹370 and ₹1,404 of GST respectively. Also check a B2B invoice with the company's GSTIN and a credit note, and have your CA confirm the tax split.
They should be able to, but test it rather than trusting a brochure. On 4G, outside the hotel Wi-Fi, check in a guest and mark a room clean, then inspected, from a phone. A pass means screens load in a few seconds and nothing needs a desktop. A shrunken desktop page or 'mobile app coming soon' is a warning sign. Codingclave's PMS does not list a native mobile app, so if phone use matters to you, ask us to show the phone flow live before you decide.
