Overview
We build those remotely from Lucknow, India: small changes at CAD 30–60 an hour, a defined build at one fixed CAD price once the scope is in writing. I'm Ashish Sharma, the founder; the written scope and the price both come from me, not a sales desk. This page sets that rate beside what Canadian firms publish, and lists what to get in writing from any developer before a deposit.

Quick answer
What does custom software cost in Canada, and is an India-based developer a safe bet?
With us, hourly work is CAD 30–60, and a defined build is one fixed CAD price once the scope is written. Published Canadian prices start higher: Euristiq in Toronto lists MVPs from CAD 15,000, and on Clutch (16 October 2026) Toronto's AltoLeap and Whitecap Canada and Montreal's Spiria and Osedea set minimums of USD 25,000 to 50,000 or more, roughly CAD 35,500 to 71,000. Building from India is a manageable risk when the scope, the price and its payment triggers, the data location and the code ownership are all in writing before any deposit.
- One CAD price, fixed once the written scope is agreed
- Commits can go to your own GitHub or GitLab from the start
- Production data can stay in your own Canadian cloud account
- A draft privacy-impact input for Quebec, and the outside-Canada notice facts for Alberta
- If a tool you can buy fits, buy it

Build, customize or buy: the test we run before quoting
Custom software is a system written around one business's process and owned by that business, instead of rented by the seat. It is the expensive answer, so before pricing anything we check whether a product you can buy already does the job.
| Your situation | Usually the right call | Why |
|---|---|---|
| An off-the-shelf tool covers most of the daily work | Buy | Cheapest and quickest to start. If that is your case, we will say so. |
| One workflow or one integration is missing | Customize or integrate | An API link to the tool you already pay for usually costs far less than a new system. |
| Per-seat fees climb with every hire | Price a build against the fees | Compare five years of seat fees with the build price plus 10–15% a year for upkeep (Witify's estimate). |
| Your process is how you win work | Build | If competitors can buy the same tool, it can't be what sets you apart. |
| The tools that fit can't host in Canada or can't produce the audit trail you need | Build, or a self-hosted option | Check first: some hosted CRMs offer Canadian data centres. Build when none of the tools that fit does. |
Phase one is the screens people open every day. That is the 80/20 rule applied to software: a small share of features carries most of the daily use. Everything else goes on a written "not included" list, and a month of real use decides phase two. Someone will miss a feature early on, so name the person who decides what waits.
Not sure which row you are in? Tell us what your current tool can't do.

Custom software solutions we can build for small and mid-sized businesses
Custom application development for a business with a handful to a few hundred staff. Each comes with the mistake that most often sinks it.
A CRM or job tracker
Contacts, pipeline stages, quotes, jobs and follow-ups in the order your staff already work. Whether a hosted CRM would do the job better is the next section.
A customer, member or patient portal
Bookings, document uploads, renewals or order status behind a login. Settle permissions before anyone designs a screen (a customer sees only their own files, a branch manager one branch), because adding roles later touches every page. Need the portal as an iOS and Android app too? See hiring a Flutter developer.
An internal tool that retires a shared spreadsheet or an old Access database
A spreadsheet that runs a business always holds unwritten rules: a colour that means unpaid, a column only one person edits. Before I quote a replacement, I ask the person who maintains the file to share their screen and walk me through every colour and locked column. Each one becomes a line in the scope.
Integrations with what you already run
QuickBooks Online, Stripe, WhatsApp follow-ups, or an existing ERP through its API. Two-way sync is the trap: if both the accounting package and the new system can create customers, duplicates appear within weeks unless one side is named the source of truth for each record.
Running trucks? See dispatch software in Canada, and when a build pays. A customer-facing portal for a larger Ontario organization can also fall under AODA, which the web development page explains.

Custom CRM development, or HubSpot or Zoho with changes?
Under about ten users with a standard pipeline, set up HubSpot or Zoho properly and spend the money on training. The rest of this section is for when that stops working.
When an API link is enough
The hosted CRM fits, but one step happens outside it: invoices raised by hand in QuickBooks Online, say, or follow-ups sent from someone's phone. A small add-on or an API connection fixes that for far less than a new system, and suits hourly work.
When a build makes sense
Seat fees grow with every hire, the way you quote and schedule is what customers choose you for, or the tools that fit can't keep the records and logs your privacy officer asks for.
What a custom CRM usually includes
Contacts and companies, pipeline stages, quotes, reminders by WhatsApp or email, an accounting sync and role-based access. Reports come last, once the staff know which numbers they actually check.
The import is where CRMs go wrong
Years of spreadsheet contacts loaded with no matching rule open the new CRM with three copies of one customer. Agree the rule (email, phone or company name) and who resolves the leftovers before anything is imported.
What a custom CRM costs
A custom CRM is priced once we know the user count, the integrations and how much data comes over from spreadsheets. Changing a CRM you already have is hourly work at CAD 30–60.
Calgary and Surrey have their own CRM pages: Calgary and Surrey. Need a CRM? Tell us the users and what you use now.

The contract checklist: what to hold in writing before any deposit
Use it on any developer, ours included. A quote without these in writing is still an estimate. What our own quote sets out is on the quote page.
What "mid-project milestone" should mean
Our fixed-scope payments are 40% to begin, 40% at a mid-project milestone and 20% at launch. Define that middle milestone as a working demo of named screens, on test data, that you click through yourself. "Backend done" is a milestone you cannot check.
What counts as a bug
Bug fixes are free for 6 months after launch, so define the word: a defect against the agreed scope. A screen nobody asked for is a change request, priced in writing first.
The handover list
Admin logins, owner access to the cloud account, deployment scripts, the list of environment variables (names and where each value is stored, never the secrets by email) and the documentation. Ask for the repository to live under your company's account from the first commit, and write that into the contract.
| Document | What it should say | Warning sign if it's missing |
|---|---|---|
| Scope | Screens, user roles and integrations by name, the first-version cut, and a "not included" list | "We'll figure it out as we go" |
| Price and milestones | One CAD figure, how changes are priced, and the event that triggers each payment | Hourly with no cap, or half or more up front with no demo milestone |
| Data location | Cloud provider, region, whose account holds production data, what the developers can see | Hosting on the vendor's own account with no region named |
| Ownership and exit | Repository in your account, IP passing on final payment, a written definition of a bug, a handover list | Code only on the vendor's server, or a licence where you expected ownership |

Canadian storage, offshore developers: how the access works
Storage and access are separate questions. A system can store everything in Montreal and still be read from anywhere by anyone with a login, so a data-location sheet answers both.
Storage: your account, a Canadian region
Production can run in a cloud account your company opens and pays for, in one of the regions below. We can deploy there while you keep the owner login and the bill.
Development: test or masked data
We can build against made-up records, or copies with names, emails and phone numbers replaced, so real customer data need not leave Canada for the build.
Production access: granted, logged, revocable
If a live problem needs production access, you grant a named role for that job, the provider logs it, and you remove it afterwards. The safeguard sits in your account settings, not in our promises. Federal law allows processing abroad, but the federal privacy commissioner's cross-border guidelines leave your business answerable for what it hands to a processor outside Canada.
| Provider | Region | Code | Location |
|---|---|---|---|
| AWS | Canada (Central) | ca-central-1 | Montreal |
| AWS | Canada West (Calgary) | ca-west-1 | Calgary |
| Microsoft Azure | Canada Central | canadacentral | Toronto |
| Microsoft Azure | Canada East | canadaeast | Quebec |
| Google Cloud | Montréal | northamerica-northeast1 | Montreal |
| Google Cloud | Toronto | northamerica-northeast2 | Toronto |
Trade-offs. AWS lists Canada West as opt-in, so it must be enabled first; Canada (Central) is on by default. Microsoft shows availability zones in Canada Central but none in Canada East, so an Azure system that needs zone redundancy usually sits in Toronto. Managed services differ by region, so pick the region after the stack.

Canadian privacy rules, turned into features and paperwork
Each rule below changes either what goes into the build or what your privacy officer files. We build the features and supply the facts; your privacy officer or lawyer decides whether the business meets the rules. This is not legal advice.
What we can prepare for your privacy officer
Data inventory and flows, which roles see which fields, where each environment runs, retention periods, and what the developers in India can reach and how that access ends. We can prepare this as one document per project, for your files.
French in the interface
The software can hold English and French text side by side for Quebec users. We deliver the French strings as well, checked by a fluent French reviewer, and your staff approve them before launch.
| Rule | When it bites | What goes into the build or the paperwork |
|---|---|---|
| Quebec, P-39.1 s.3.3 (LégisQuébec) | An enterprise starts a project to acquire, develop or overhaul an information system that handles personal information | A privacy impact assessment from the outset, with the person in charge of personal information consulted from the start; we can draft its inputs. Since 22 September 2024 the system must also be able to return, on request, the computerized data collected from a person in a structured, commonly used format, so we scope a JSON or CSV export. |
| Alberta PIPA, service providers outside Canada | An Alberta organization has a service provider outside Canada collect personal information, or transfers it to one | Individuals are told how to get the organization's policies on that provider and who answers questions about it; the policies name the countries and the purposes. India goes in the policy, and we supply the facts. |
| PIPEDA breach records | Organizations covered by PIPEDA, including when data is processed abroad | A record of every breach of security safeguards, kept 24 months. We can build that register into the system, beside an audit log of who viewed or changed personal records. |
| Bill C-36 | Not law: introduced 15 June 2026, only first reading completed as of 16 October 2026 | It would enact the Protecting Privacy and Consumer Data Act and amend PIPEDA. PIPEDA still applies; build the export and the logs now and revisit if the bill passes. |
Scoping the export and the assessment in phase one adds a few days of work; adding them after launch means reopening every screen that touches personal data. Province-by-province privacy and tax notes are on the Canada overview.

Call hours from Victoria to St. John’s
BC, Alberta and Manitoba stop changing clocks on 1 November 2026, so a December call can land an hour away from where it did last winter. The table shows both seasons for every province.

India runs on UTC+5:30 all year, so 9pm in Toronto is 6:30am in Lucknow in summer and 7:30am in winter: a message sent in your evening is read at the start of our day, before yours begins. Each milestone can close with a written note on what shipped and what is next.
Two cities have their own pages because people there search for this work by name: custom software for London, Ontario and CRM for Calgary. Everywhere else, including Edmonton, Winnipeg, Ottawa and the GTA, is served from this page, and the Canada overview has the province table.
