Overview

Hourly work is CAD 30–60; a build gets one fixed CAD price once the scope is agreed. Codingclave is founder-led by Ashish Sharma and delivers from Lucknow, India, without a Calgary office. Under about ten users with an ordinary sales funnel, expect us to recommend configuring a packaged CRM instead.

Quick answer

Should a Calgary business build a custom CRM or pay for HubSpot, Zoho or a Calgary-made CRM?

Build when what you pay in seats, plus the staff hours lost to workarounds, comes to more than a build and its hosting. For most teams under ten users it doesn't, and configuring HubSpot, Zoho or Dynamics 365 is the better spend. One Calgary-made CRM publishes 25 a user a month, currency not stated: for 10 users that is 9,000 over three years before tax, and the bill keeps coming. A custom CRM has no seat fee, just one fixed build price, then hosting and later changes.

  • Your process fits deals, contacts and companies: configure HubSpot, Zoho or Dynamics 365
  • Unusual records, field-level roles, a PIPA notice trail or a two-way accounting sync: build
  • 16 of the 17 firms that show a rate on Clutch's Calgary CRM list charge about CAD 71 an hour or more
  • Our rate is CAD 30–60 an hour, and a build gets one fixed price

Do you need a custom CRM at all?

Take the cheapest route that holds your process without workarounds, and move down the table only when it breaks. Searches for the best small-business CRM in Canada usually end at HubSpot, Zoho, Pipedrive, Salesforce or Microsoft Dynamics 365; check each vendor's Canadian pricing page the day you compare.

Which CRM route fits your team

When we'd tell you not to build. Fewer than about ten users, an ordinary lead-to-deal funnel, no accounting sync and no unusual permissions. Configure a packaged CRM, spend the difference on cleaning your contact data, and we'll price the set-up by the hour. Selling the CRM to other companies makes it a SaaS product: see the SaaS cost guide.

Three years of seat fees against owning the software

Seat prices look small because they are quoted per person per month. Evolved Metrics, which markets its CRM as made in Calgary, says "Users are only $25 per month" and names no currency, so neither do the totals below.

Seat fees over 36 months at a Calgary-made CRM's published per-user price (vendor's currency not stated; before tax; read 16 October 2026)
UsersPer month36 months (before tax)
51254,500
102509,000
2562522,500

The same page links to a 9 February 2026 blog post advertising "$5 a month/User for a Year", so ask the vendor which price applies to you. The arithmetic also leaves out:

  • Add-ons. Price the tier with the automation and accounting connector you'd use.
  • Hosting, once you own the software. Server, database and backups become a monthly cloud bill in your company's name.
  • Changes after launch. Quoted or billed by the hour; the six months of free bug fixes cover defects, not new features.

For scale, the most common minimum project on Clutch's Calgary CRM list is about CAD 14,200, a market figure rather than our price. Rough rule: under ten users, configure; past about 25 with workarounds piling up, price a build. Send your user count and seat bill and we'll say which side you're on.

Alberta privacy and tax rules your CRM has to record

Information for planning a build, not legal advice. The privacy rules come from Alberta's Personal Information Protection Act (PIPA), consolidated to 1 September 2025. Your lawyer writes the notice, your accountant signs off tax rates, and the CRM keeps the record.

  • Notice that your provider works outside Canada

In this rule, the service provider outside Canada is us. If our team in India sees your customers' records during a migration or live support, PIPA s.13.1 probably applies; your counsel confirms it. Each person must then be told, in writing or orally, before or at collection or transfer, how to get written information about your policies on such providers, and the name or title of someone who can answer questions. The CRM stores that as a notice record per contact: date, channel, text version. You can ask us to build and test on dummy or anonymized records, with live access only when the migration or support needs it.

  • Policy versions that name the countries

Under s.6(2), those policies must name the countries outside Canada where collection, use, disclosure or storage happens or may happen, and the purposes the provider is authorized for; s.6(3) makes written information about them available on request. The CRM dates each version and links every notice record to the version that contact saw.

  • Access and correction requests

PIPA s.28 gives you 45 days from receiving a written request to answer it, unless the period is extended under s.31. The request log holds who asked, the arrival and due dates, what was sent back and which fields changed.

  • Breach incident log

Under s.34.1, an organization must tell Alberta's Information and Privacy Commissioner, without unreasonable delay, of any incident involving the loss of, or unauthorized access to or disclosure of, personal information where a reasonable person would see a real risk of significant harm; under s.37.1 the Commissioner can require notice to the people affected. The CRM holds the facts: what happened, when it was found, which records were involved and who was told when.

  • Quotes to customers outside Alberta

An Alberta sale carries 5% GST and no PST. The CRA's rate table, covering every province, puts Ontario at 13% HST, Nova Scotia at 14% HST and British Columbia at 5% GST plus 7% PST. A CRM that issues quotes picks the rate from where the supply is made, using rates your accountant confirms.

Ask which of your records our team would see during a build, and from where, so your counsel can write the notice once.

Where your CRM data is stored, and how you get it back

Decide this before the build. Moving a live database later means a second migration, with the same duplicate and field-mapping checks as the first.

  • In Calgary itself, if you want

AWS runs a Canada West (Calgary) Region, ca-west-1, listed as opt-in, so it has to be enabled on an account before use. You can choose to keep the CRM's database there, in a cloud account registered to your company, with the domain, mail-sending service and top admin login in your company's name too.

  • A tested restore and a full export

Ask for automated backups in the same Region and one tested restore before launch. Contacts, companies, deals, notes and the PIPA logs export as CSV, plus a full database dump, whenever you want to move to another developer or platform.

Three kinds of Calgary sales, three different CRMs

Examples of what we can build, not client stories. A head-office account, a renovation inquiry and a field contractor's quote each need different records.

  • Account management for head-office buyers

Statistics Canada counted 221 head offices in the Calgary census metropolitan area in 2024, with 29,824 people working in them (The Daily). Selling to them means several contacts per account and a sign-off chain: the CRM needs a contact map per account, stage gates with a named approver, and renewals that surface months ahead.

  • Intake for home and professional services

The Calgary CMA grew 2.9% in the year to 1 July 2025, tied for second-fastest among Canada's metropolitan areas, with a net gain of 11,195 people from other provinces (The Daily). That suggests some inquiries to movers, renovators, accountants and lawyers come from newcomers with no referral, so the first reply has to be quick: one queue, assignment by service and part of the city, and a same-day reminder if nobody has replied.

  • Quotes and work orders for oil and gas service contractors and trades

Contractors on oil and gas sites, and trades across the city, run on quotes, jobs and crews rather than deals. Their CRM tracks each site and its contacts, turns an accepted quote into a work order, keeps crew notes and photos on the job, and invoices from it. Fleet dispatch needs a different system, which the dispatch software guide for Canadian trucking covers.

Tell us what you sell and to whom, and we'll say which records your CRM needs first.

Where spreadsheets and no-code CRMs break

You can build your own CRM, and for a while you probably should. A shared spreadsheet works for one to three people; a no-code builder, or a CRM an AI tool assembles from a prompt, works for a pilot or a single team. They tend to break at the same points:

  • Field-level access: sales sees the pipeline, only finance sees credit terms.
  • A history of who changed a deal, and when.
  • A PIPA notice record on every contact.
  • An accounting sync that recovers from errors instead of silently stopping.
  • Thousands of records linked across companies, contacts, deals and jobs.

AI sits on top of a CRM. It can't replace clean records with permissions behind them.

When the job is bigger than a CRM: client portals, quoting tools and job trackers

Some briefs that start as "we need a CRM" are really a web application: customers log in to see their jobs and invoices, a quoting tool prices work from a form, or crews close work orders on a phone. That is custom software; a customer-facing site with logins sits with web development.

We haven't built a CRM for a Calgary firm. The nearest work of ours you can look up:

  • ESMED, the European Society of Medicine: a WordPress/PHP platform for membership and publishing, holding member records.
  • Dr. Akash Dubey's healthcare portal in India, with online booking.
  • Correct Prices, a price-comparison web app in React/Node.

Member records, booking and a React/Node app are the building blocks a portal uses.

How it works

From your current pipeline to a working CRM

Start on WhatsApp
  1. Send what you use today

The tool or a spreadsheet export, the number of users and what breaks. A screenshot of the daily workaround says more than a feature list.

  2. Verdict and rough cost

Build, configure, or stay where you are. Configuring is priced by the hour.

  3. Data map and written scope

Objects, roles, integrations and reports by name, plus the PIPA notice text from your counsel. The fixed price is set here.

  4. Trial import on a copy

Duplicates and broken fields show up before anyone relies on them.

  5. Build in staged releases

You test each stage on your own workflows; the middle payment falls due at the agreed milestone.

  6. Go-live, training and six months of fixes

Users train on their own records, the live data moves over, and bugs found in the six months after launch are fixed free.

Ask on WhatsApp

How much does a custom CRM cost for a Calgary business?

One fixed price, set once the scope names your record types, roles and integrations, the data to migrate and the reports you need. Our hourly rate is CAD 30–60. For comparison, 16 of the 17 firms showing a rate on Clutch's Calgary CRM list charge about CAD 71 an hour or more, and their most common minimum project is about CAD 14,200.

Is a custom CRM better than Salesforce or Zoho?

For some teams. A custom build wins when your records don't fit their deals, contacts and companies, or when you need access rules down to the field, an Alberta notice and request trail, or a database in your own cloud account. If your process fits the packaged objects, configure Salesforce or Zoho instead: you'll be live sooner and pay less up front.

Can I build my own CRM in Excel or with AI, and will AI replace the CRM?

For a pilot, yes: a shared spreadsheet or an AI-built deal tracker gets a small team going quickly. Both struggle once you need permissions by field, change history and an accounting sync. AI won't replace the CRM either. It is good at drafting follow-ups, summarizing call notes and flagging deals that have gone quiet, and each of those depends on clean, permissioned records underneath.

Does Alberta's PIPA apply if my CRM developer is in India?

PIPA applies to you, the Alberta organization, and when a developer outside Canada handles your customers' personal information, its service-provider rules are likely to apply: a notice under section 13.1 at or before collection or transfer, and policies that name the countries and purposes under section 6(2). This is information, not legal advice, so have your counsel confirm how it applies to your build.

Can my CRM data stay in Calgary?

Yes, if you choose. AWS's ca-west-1 Region is in Calgary, but it is opt-in, so enable it on your account first. The database, backups and file storage can all sit there under your company's name. Our team in India would reach the data only through access you grant and can remove when the work ends.

Can a custom CRM sync with QuickBooks Online?

Yes, and with Xero, as a two-way sync we can build. It runs against a QuickBooks sandbox company first, never your live books. Most of the effort goes into the rules, not the connection: which system creates customers, which owns each field, how tax rates map to tax codes, and what a voided invoice does to the deal.

How long does a custom CRM take to build?

The written scope sets the schedule. It depends on the number of record types and roles, the systems the CRM connects to, how messy the data to migrate is, and how quickly your team reviews each release. Work arrives in staged releases, with the trial import as an early milestone, so you test working screens long before launch, and the timeline comes with the fixed quote.

Who owns the CRM code and the customer data?

You do. The code and the IP pass to you with the final payment of a fixed-scope build. The customer data stays in the cloud account, database and accounting system registered to your company, and it can be exported as CSV, plus a full database dump, whenever you want to change developer or platform.

What would an in-house CRM developer in Calgary cost?

Job Bank puts software developers and programmers in the Calgary region at CAD 26.00 to 76.92 an hour, with a median of CAD 48.08, the same as Canada's (updated 19 November 2025). At 37.5 hours a week the median is about CAD 93,800 a year, before employer costs such as CPP, EI and vacation pay. Our hourly rate is CAD 30–60, billed only for the hours a project uses.
