Overview

That band covers a CRM, a client portal, an internal operations tool, a booking system or a single ERP module. Below: how the price is worked out, where each kind of build tends to land, what US firms publish for the same category and why theirs is higher, and when a SaaS subscription is the cheaper answer.

Quick answer

What does custom software cost when a team in India builds it?

With us, $2,500–$15,000 for a first version, built in 6–16 weeks. A CRM or portal for one team with a few roles usually sits in the lower half; an ERP module with stock, purchasing and an accounting link sits near the top. US vendors start much higher in their own 2026 guides: Keyhole Software puts a simple or MVP build at $40,000–$120,000. Most of the gap is what an hour of work costs and what the quote bundles, such as paid discovery and a project manager.

  • Our band: $2,500–$15,000 over 6–16 weeks
  • Screens, roles, integrations and data migration set the price
  • Market hourly rates and US agency bands below, each cited and dated
  • Systems spanning several departments are quoted in stages

How a custom software quote is put together

Every estimate comes down to the same arithmetic. BD Emerson's 2026 guide writes it as team size × blended hourly rate × duration, plus contingency. We don't sell hours, so the rate drops out of our side of the sum: we estimate the weeks a small team needs for the written scope and turn that into one fixed USD price. Four things move the weeks more than anything else.

  • Screens and roles

Each distinct screen and each kind of user (admin, office staff, customer, field technician) adds design, build and testing. A tool with 12 screens and two roles is a different job from one with 40 screens and five.

  • Integrations

Every system it talks to, such as QuickBooks Online, Stripe, Google Workspace, Twilio or an existing database, needs its own code and its own handling for the day that system is down. Each one appears as a separate line in the scope, so you can see what it adds.

  • Data you bring with you

Moving years of spreadsheets or an old Access database means cleaning, mapping and trial imports. Clean CSV files are quick; inconsistent ones are where estimates go wrong, so ask any vendor to look at a sample before they quote.

  • Rules nobody wrote down

Approval chains, pricing exceptions, who may see which records. The more of these live only in someone's head, the longer the questions take, and with us they are settled in writing before the price is fixed.

  • Example scope: job tracking for a 30-person service company

Office staff create jobs and assign technicians; technicians see their day and close jobs from a phone browser, with photos; the owner gets a weekly report; invoices export to QuickBooks Online. Three roles, about 18 screens, one integration and a spreadsheet import: roughly 10 weeks, landing in the lower-middle of our $2,500–$15,000 band.

Where common builds land in the $2,500–$15,000 band

Typical first versions, by type. The position in the band is where a plain version of each usually falls; extra integrations, a large data migration or a mobile app alongside move it up.

First versions of common business software, with typical weeks and position in our USD band
BuildUsually includedTypical weeksWhere it lands
CRMContacts and companies, a deal pipeline with your own stages, tasks and reminders, email logging, roles, simple reports6–10Lower half
Client or vendor portalA login per client, documents and status updates, messages, invoices or payments through Stripe6–10Lower half to middle
Internal operations toolRequests or work orders, approval steps, a phone-friendly view for staff in the field, exports8–12Middle
Booking systemCalendars by staff member or room, online booking, email or text reminders, deposits through Stripe6–10Lower half to middle
Spreadsheet replacementYour sheet's columns as a real database, entry forms, permissions, search and an import of the history6–8Lower end

Two or three of these sharing one database, or an ERP that spans departments, goes past the top of the band and is quoted on its own scope, usually in stages so each one is paid for as it goes live.

Custom software development cost per hour in 2026

These hourly figures were read on October 25, 2026. They measure different things: a wage is what an employee earns, a billed rate is what a firm charges, and a directory band is what listed firms say they charge.

Published hourly figures for software development work, read October 25, 2026

We don't price projects by the hour, because an hour is not what you are buying. Two vendors with the same rate can deliver the same CRM for very different totals, depending on how many hours each one needs, and an hourly contract leaves that difference with you. A fixed price moves it to the vendor: if we underestimate the weeks, the overrun is ours.

What a US agency quote includes that ours doesn’t

US firms publish 2026 bands well above ours: $40,000–$120,000 for a simple or MVP build at Keyhole Software, $100,000–$200,000 for small applications at Soltech, and $150,000–$600,000 for an internal workflow tool at BD Emerson. Part of that distance is the hourly cost of people. The rest is work their quotes include and ours leaves with you.

  • Paid discovery

BD Emerson's worked example for an insurer's portal and app budgets $84,000 of paid discovery before the build starts. With us, discovery is a round of written questions before a free quote. For a large or regulated system, a paid discovery phase is money well spent with any vendor.

  • A product manager on their side

US agencies staff a project or product manager who runs priorities, backlog and acceptance. With us, progress is reported in writing and the decisions about what matters most stay with you, so budget a few hours a week of someone's time on your side.

  • Contingency on the invoice

The same BD Emerson example adds 15% contingency on top of the build. A fixed price has no contingency line for you to pay, which is exactly why we won't fix a price until the scope is written down.

  • Support in your business hours

A US firm answers during your working day. Ours is your night, so a problem raised on a weekday afternoon in the US is picked up at the start of our next working day, Monday to Saturday.

  • Compliance programs

BD Emerson lists first-year SOC 2 work at $30,000–$90,000 and a manual penetration test at $8,000–$30,000. We hold no SOC 2 report and don't take work handling US health data; if your buyers demand either, a US firm with that program is the better fit.

Custom CRM, or HubSpot and Salesforce seats?

The first question for any CRM build is whether you need one at all. These are US list prices read on the vendors' pricing pages on October 25, 2026.

  • HubSpot Sales Hub

Professional starts at $90 to $100 per seat a month, depending on how you are billed, plus a required one-time onboarding fee of $1,500 (HubSpot pricing). Ten Professional seats come to $10,800–$12,000 a year before that fee.

  • Salesforce

Pro Suite costs $100 per user a month, billed annually, and Starter Suite $25 (Salesforce pricing). Ten Pro Suite users cost $12,000 a year, and the bill grows with every hire.

  • A custom CRM

A one-time build in our $2,500–$15,000 band, usually its lower half, then hosting in your own account and, if you want us to look after it, Store & App Care at $300 a month. There are no seat fees, so the fortieth user costs what the fourth did.

Which one to pick

Buy seats when your sales process looks like everyone else's: email sequences, a mobile app and hundreds of ready integrations come on day one, and no first version of ours will match that. Build when the process is unusual (a dispatch board, a renewal schedule tied to your own data), when many people each need a few screens, or when the records must sit in your own database.

When you need changes after the price is agreed

A fixed price only stays fixed if both sides agree what counts as a change. The line we draw is simple.

  • A bug is ours to fix

If the software doesn't do what the written scope says, fixing it is part of the job. That stays free for 6 months after launch.

  • A change is new scope

Anything the scope didn't include, even one extra field, is written up, estimated and quoted before work on it starts. You accept it, decline it or park it for a later phase; the original price and dates stand unless you accept.

  • Batch changes at the milestone

Requests that arrive mid-build cost least when they are reviewed together at the mid-project milestone: they can be quoted as one change and slotted in without stopping the work already under way.

  • Apply the 80/20 rule to your wish list

A small share of features usually carries most of the daily use. Put that share in version one, launch it, and let real use show which of the remaining ideas are worth paying for.

What it costs to run once it is live

The build is paid once; running it is not. Keyhole Software puts annual maintenance and support at 15–25% of the initial development cost, and BD Emerson uses the same range for year-one run cost. For a first version we build, the running costs usually come from three places.

  • Hosting and services in your name

Servers, database, email sending and file storage are billed to you by each provider, in accounts your company owns, so the software never depends on ours.

  • Usage fees from third parties

Text messages, card processing, map lookups and similar charges per use. The quote lists them under what is not included, with the provider named.

  • Care, only if you want it

Custom web apps go on Store & App Care at $300 a month: updates tested on a staging copy first, daily backups kept for 90 days and 15 hours of changes a month. Or hand the code to any developer you like, since it is yours on final payment.

When a subscription beats any custom build

Custom software is the expensive answer to a common problem. An off-the-shelf product is usually the better buy in these cases.

  • The product already matches how you work

If a tool's default workflow fits with a few settings changed, paying to rebuild it buys you nothing but upkeep.

  • It is a solved category

Accounting, payroll, email marketing and e-signature are mature markets with tax and legal updates built in. Connect to them; don't rebuild them.

  • You need it working next week

Even a lean custom build from us takes 6 weeks or more. A subscription can be live by Friday, and that may be worth more than a perfect fit.

  • Few users and low seat prices

Three people on a $25 seat spend $900 a year. At that rate even the lowest custom build takes almost three years to pay back, before hosting.

For the five-year sum laid out line by line, see our custom software vs SaaS cost comparison; it is worked in rupees for Indian firms, but you can swap in US seat prices and the logic holds.

How much does custom software development cost in 2026?

US firms' own 2026 guides start at $40,000–$120,000 for a simple or MVP build (Keyhole Software) and reach $150,000–$600,000 for an internal workflow tool (BD Emerson). Projects reviewed on Clutch mostly fall between $10,000 and $49,000. From our team in India, a first version costs $2,500–$15,000 over 6–16 weeks, at one fixed USD price once the scope is agreed.

What is a typical custom software development cost per hour?

It depends on who is counting and what the number measures. A US firm's 2026 rate table puts North American developers at $55–$100 an hour junior and $125–$250 or more senior (Keyhole Software). Clutch shows listed US firms at $50–$99 an hour and Indian firms at $25–$49. The BLS median US developer wage of $135,980 a year is pay, not a billed rate. We quote fixed project prices instead.

How much does it cost to build a custom CRM?

A first-version CRM from us is priced inside our $2,500–$15,000 band, usually in its lower half: contacts, a pipeline with your stages, tasks, email logging, roles and reports, in 6–10 weeks. A migration from an old system or several integrations move it up. Compare seat prices first: ten HubSpot Sales Hub Professional seats run $10,800–$12,000 a year plus a $1,500 onboarding fee (HubSpot).

Why do US agencies quote $100,000 or more?

Mostly because of what an hour costs there and what the quote bundles. BD Emerson's 2026 worked example for a portal and mobile app staffs seven people at a $120 blended hourly rate, adds $84,000 of paid discovery and 15% contingency, and reaches $1,320,480 before run costs (BD Emerson). Discovery, a project manager and support in your hours are real services; with us, more of the product decisions and the time difference sit with you.

What is the 80/20 rule in software engineering?

It is the Pareto principle applied to software: a small share of causes produces most of the effects. People quote it for features (a fifth of them carry most of the use) and for defects (a few modules cause most of the bugs). For a custom build it works as a scoping tool: put the few features your team will use every day in version one, launch, and price the rest once real use shows which ones matter.

Do AI coding tools make custom software cheaper?

Somewhat, but by less than the headlines suggest. BD Emerson's 2026 guide works it through: if coding and unit testing are 40% of the effort and AI makes that part 30% faster, the whole project costs about 12 percent less, because discovery, integration testing, security review, data migration and acceptance still take their time (BD Emerson). The same guide cites a 2025 study in which experienced developers on mature codebases took 19% longer with early-2025 tools. Be wary of any quote that leans on AI to justify a vague scope.

What happens when we need changes after the scope is agreed?

You describe the change in writing, and we estimate it and send a separate fixed quote before any work on it begins. You can accept it, turn it down or hold it for a later phase; the original price and dates stand unless you accept. Something that fails to do what the agreed scope says is a bug rather than a change, so we fix it at no charge, and that holds for 6 months after launch.

Do you build ERP software?

Yes. Custom ERP is work we deliver, and we don't name those clients on this page. A sensible start is the one module that hurts most, such as inventory, purchasing or production planning, linked to your accounting software; that usually fits the upper half of our $2,500–$15,000 band. An ERP that spans several departments is scoped and quoted in stages. If an off-the-shelf ERP already fits your industry, we will tell you.

How much does a custom web application cost?

A web application with sign-in, roles and its own data costs $2,500–$15,000 with us, against $300–$1,200 for a business website. The difference is the logic behind the screens: who can see which records, what happens when someone clicks approve, which other system gets told. A portal or an internal tool is a web app; a site that only presents information is a website, and pricing it as software would waste your money.
